Job Description

Carey Olsen is looking for a Legal Secretary to join the Corporate Finance team in our Jersey office. You will provide a professional, client-focussed personal assistant service to Senior Lawyers and Partners.

Key duties and responsibilities include:



Personal Assistant and office administration duties:

?

Acting as first point of contact: dealing with correspondence and phone calls Extensive diary and inbox management Assisting team with matter administration and client billing Document / agreement formatting Organising and managing internal and external events and engagements Booking and arranging travel, transport and accommodation Managing databases and filing systems Implementing and maintaining procedures/administrative systems Typing, transcribing and other Word Processing tasks Filing and correspondence duties Meeting & presentation preparation Records management and document control Scheduling meetings
Travel & Business Development:

Organising business trips, client meetings and small events on behalf of Partner(s) and fee earners (e.g. team or partner business trips, small client lunches or dinners, client hospitality, sporting or social events, in-house seminars) Producing biographies for target contacts Compiling collateral packs Maintaining client and personal contact lists, including marketing & business development (M&BD) activities and holding accurate profiling of contacts ?Updating and maintaining social media profiles and contact lists for Partner and/or Senior Lawyers
CRM system

Adding partner and fee earner contacts and ensuring data is up to date to include accurate profiling of contacts Adding partner and fee earner marketing & business development (M&BD) activities to contacts list Adding contacts to LinkedIn

The ideal candidates should have:



Previous legal secretarial or personal assistant experience and familiarity with legal documentation and terminology including document / agreement formatting Proficiency with MS Office applications, specifically in Word processing as well as previous work experience with legal platforms such as iManage. Good typing speeds and accuracy Excellent interpersonal and communications skills Confidentiality and discretion Ability to be proactive and take initiative Excellent planning and organisation skills Ability to prioritise effectively and efficiently under pressure

?The hours for this role will be 37.5 hours per week. Standard hours are 8.30am to 5.00pm or 9.00am to 5.30pm with a 1-hour unpaid break for lunch.
