We are seeking an experienced and highly organised
Private Client Legal Secretary
to support our Private Client department. The role involves providing comprehensive secretarial and administrative assistance to solicitors dealing with Wills, Probate, Powers of Attorney, Trusts, Tax and Estate Administration. The ideal candidate will be professional, discreet, and experienced in handling sensitive information with empathy and efficiency.
Key ResponsibilitiesSecretarial & Administrative Support
Prepare, draft, amend, and format legal documents including Wills, LPAs, probate forms (IHT205, IHT400), trust documents, and correspondence.
Audio and copy typing of letters, attendance notes, and legal documentation.
Assist with the preparation of probate applications through both paper and online systems.
Create and manage client files, ensuring they are maintained in accordance with firm procedures and compliance requirements.
Organise meetings, client appointments, and manage fee-earners' diaries.
Client Care
Act as a first point of contact for clients, demonstrating empathy, confidentiality, and professionalism--particularly when dealing with elderly clients or those dealing with bereavement.
Handle incoming calls, emails, and enquiries promptly and courteously.
Provide updates to clients as directed by the fee-earner.
File & Case Management
Assist in the administration of estates, including gathering financial information, contacting third parties, and preparing schedules of assets and liabilities.
Manage incoming and outgoing post, including liaising with HMCTS, HMRC, banks, financial institutions, and other third parties.
Prepare and organise document bundles and ensure all documents are stored correctly electronically and/or in paper form.
Finance & Compliance
Prepare invoices and handle billing tasks.
Assist with time recording where applicable.
Ensure compliance with SRA, GDPR, AML requirements, and firm policies.
Manage payments, disbursements, and monitor relevant deadlines (e.g., HMRC submissions).
Office & Team Support
Maintain stationery and supplies for the department.
Support the wider team by assisting colleagues during busy periods or absences.
Liaise with external professionals such as attorneys, executors, trustees, financial advisers, and courts.
Skills & Experience Required
Prior experience as a
Private Client Legal Secretary
or in a similar legal support role.
Strong understanding of Private Client processes (Wills, LPAs, Probate, Trusts, Estate Administration).
Fast and accurate typing and dictation skills.
Excellent communication and interpersonal skills with a client-focused approach.
High attention to detail and strong organisational abilities.
Ability to manage sensitive situations with empathy and discretion.
Proficiency with Microsoft Office and case management systems.
Desirable
Experience using online probate services and HMCTS platforms.
Familiarity with inheritance tax forms and HMRC processes.
Knowledge of managing Trust administration files.
Experience in dealing with vulnerable or elderly clients.
