About the Role
We are seeking a professional and well-organised
Conveyancing Legal Secretary / Receptionist
to join our Residential Property department.
This dual role combines conveyancing administrative support with front-of-house reception duties, providing an excellent opportunity for a confident communicator who enjoys client interaction and varied day-to-day responsibilities.
You will play a key role in ensuring the smooth running of the conveyancing department and the welcoming operation of our reception area -- delivering the highest standards of professionalism and client care that Bates Solicitors is known for.
Key Responsibilities
Conveyancing Support:
Prepare, format, and proofread legal documents, including contracts, transfer deeds, and completion statements.
Liaise professionally with clients, estate agents, mortgage lenders, and other solicitors.
Open, maintain, and close client files in accordance with firm procedures and compliance standards.
Conduct Land Registry and local authority searches, and assist with post-completion matters.
Manage solicitors' diaries, schedule appointments, and coordinate exchanges and completions.
Carry out client ID checks.
Assist with billing, invoicing, and other administrative duties within the department.
Reception Duties:
Act as the first point of contact for clients and visitors, greeting them in a friendly and professional manner.
Answer and direct incoming telephone calls and handle general email enquiries.
Manage the reception area, ensuring it remains tidy and welcoming at all times.
Handle incoming and outgoing post and deliveries.
Schedule appointments and manage meeting room bookings.
Provide general administrative support to the wider office as needed.
Skills & Experience Required
Previous experience as a Legal Secretary, ideally within Residential Conveyancing.
Experience in a receptionist or front-of-house role within a professional environment.
Strong understanding of the conveyancing process and related documentation.
Excellent communication and interpersonal skills, with a polite and professional telephone manner.
High attention to detail and strong organisational skills.
Proficiency in Microsoft Office and legal case management software
Ability to multitask effectively in a busy office environment.
Friendly, courteous, and client-focused approach, reflecting the firm's traditional values.
