Role Overview



We are seeking a motivated and organised

Lettings Appointment Booker / Lettings Administrator

to join our vibrant team. This role is pivotal in ensuring smooth operations within our lettings department, coordinating property viewings, managing tenant enquiries, and providing administrative support to facilitate successful lettings. The ideal candidate will be proactive, have excellent communication skills, and thrive in a fast-paced environment.

Key Responsibilities



Schedule and coordinate property viewings for prospective tenants, ensuring optimal use of time and resources. Liaise with tenants, landlords, and letting agents to confirm appointments and manage viewing schedules. Follow up with prospective tenants post-viewing to gather feedback and progress applications. Maintain accurate records of appointments and ensure all parties are informed of changes or cancellations.

Administrative Support



Manage tenant enquiries via phone, email, and in-person, providing professional and timely responses. Process tenancy applications, including reference checks, document verification, and preparation of tenancy agreements. Maintain and update the lettings database with accurate property and tenant information. Support the lettings team with ad-hoc administrative tasks, such as filing, invoicing, and compliance checks.

Customer Service



Deliver exceptional customer service to tenants, landlords, and other stakeholders, acting as a key point of contact. Handle queries and resolve issues efficiently, escalating complex matters to senior team members when necessary. Build and maintain positive relationships with clients to enhance the reputation of North Property Group.

Essential



Excellent organisational and time-management skills, with the ability to prioritise tasks effectively. Strong communication skills, both verbal and written, with a professional and friendly demeanor. Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with CRM systems or property management software. Ability to work under pressure in a fast-paced environment while maintaining attention to detail. A proactive and team-oriented attitude with a passion for delivering excellent customer service.

Desirable



Previous experience in a lettings, property management, or customer-facing role. Knowledge of the Leeds property market and lettings processes. Familiarity with tenancy regulations and compliance requirements. Experience using property management software such as Reapit or similar platforms.
