Lettings Administrator



Overview



A Lettings Administrator supports the smooth running of the lettings department by handling administrative tasks, coordinating with landlords, tenants, and contractors, and ensuring all legal and compliance requirements are met. The role requires strong organisation, communication skills, and attention to detail.

Key Responsibilities



Tenant & Landlord Support



Act as the first point of contact for enquiries from tenants and landlords. Arrange and manage property viewings, liaising with prospective tenants and negotiators. Provide updates to landlords regarding marketing activity, viewings, and tenant applications.

Administrative Duties



Prepare tenancy agreements, renewal documents, and associated paperwork. Process applications, including referencing checks and right-to-rent compliance. Maintain accurate records and ensure all property files meet compliance standards. Organise move-ins and move-outs, ensuring all documents and keys are prepared.

Compliance & Documentation



Ensure all properties meet legal requirements such as EPCs, gas safety certificates, EICRs, and smoke alarm checks. Keep databases, CRM systems, and portals up to date with property and tenant information. Monitor deadlines for tenancy renewals, inspections, and safety certificates.

Property Management Support



Arrange maintenance work by liaising with approved contractors. Log maintenance issues and keep tenants and landlords updated on progress.

Skills & Competencies



Excellent organisational and time-management skills. Strong communication and customer service abilities. High level of accuracy and attention to detail. Ability to multitask in a fast-paced environment. Knowledge of UK lettings legislation (desirable but can be trained). Experience in lettings, estate agency, or administrative work (preferred). Good working knowledge of Microsoft Office.

Typical Working Hours



This is a full time position and weekend work (mainly Saturdays) may be needed.

Pay TBC dependant on experience

Pay: 24,420.00-26,000.00 per year
