Role summary
We are seeking a proactive and organised Lettings Administrator to join our team. The successful candidate will provide comprehensive administrative support throughout the tenancy lifecycle, schedule and document property inspections, and ensure that all property information is kept up to date across our digital platforms.
Key responsibilities
oManage the administrative process for new tenancies, including referencing, drafting and issuing tenancy agreements, renewals and terminations.
oSchedule, coordinate and record regular property inspections; produce reports on condition and ensure follow up on any required maintenance or remedial actions.
oUpdate property listings and availability across all marketing platforms and portals (e.g. company website, Rightmove, Zoopla), ensuring information is accurate and timely.
oMaintain comprehensive tenant and property records within our property management system, including rent payments, deposit information and compliance certificates.
oRespond to tenant and landlord enquiries by phone, email and in person, providing excellent customer service and clear communication.
oLiaise with contractors and service providers to arrange repairs, servicing and safety checks, ensuring prompt resolution of issues.
oMonitor statutory compliance deadlines (such as gas safety, electrical safety and deposit protection) and assist with arranging inspections and renewals.
oProvide general administrative support to the lettings team, including data entry, document filing, invoicing and rent arrears reminders.
oAssist with updating social media or marketing content to promote available properties and company services when required.
Skills and experience
oPrevious experience in a lettings administration or property management environment is desirable.
oUp-to-date knowledge of residential lettings legislation and compliance requirements.
oExcellent organisational skills with the ability to prioritise tasks and meet deadlines.
oStrong written and verbal communication skills, with a professional and customeraEUR'focused approach.
oHigh level of accuracy and attention to detail.
oProficiency with property management software and Microsoft Office (Word, Excel, Outlook).
oAbility to work effectively both independently and as part of a team.
oA full UK driving licence and access to a car is advantageous but not mandatory.
