Lettings Co Ordinator (move In / Move Out)

Job Description

We are looking for a super-organised, friendly but firm Lettings Co-ordinator to join our lettings team, organising our maintenance team to ensure accommodation is ready for the next tenant to move into and that all the required administrative steps are completed pre- and post- move in.

You'll need to be super-organised, able to respond to messages from a variety of platforms and prioritise workload to ensure everything is done on time. In return, you'll be working as part of a great team and be rewarded with the realistic opportunity to earn (OTE) 30,000+ (made up of a competitive salary and performance-related bonuses).

Highly desirable traits/experience



Super-organised with great communication skills - not afraid to pick up the phone and chase to get things done. Able to manage and respond to communications from a variety of channels (email, whatsapp, phone calls, social media etc) Willing to make outbound sales calls to warm leads to generate reviews Confident working autonomously with limited supervision once fully-trained Pro-active nature, confident to make suggestions for improvement to company directors Open for feedback, listens and readily accepts input Familiarity with property/lettings useful but not essential

Main tasks



Administering the move-out process upon receiving notice that a tenant is leaving - calculating pro-rata rent, communicating expectations of the tenant prior to moving out,. Booking the check-out report to be conducted - supplying all the relevant information to the property manager completing this Reviewing the check-out report, identifying tasks/costs, communicating this with the outgoing tenant and keeping the landlord updated. Ordering replacement items, arranging the maintenance team/contractors and cleaners to ensure accommodation is cleaned and prepared for the new tenant to move in Following up with new tenants to ensure everything is OK - rectifying any issues and requesting online reviews Tracing and reporting of key performance indicators (turn-around times, satisfaction scores and % of costs recovered) Liaising with the marketing team to arrange for new photos to be taken if necessary or to promote certain rooms on social media or other platforms

Secondary tasks - supporting the wider lettings/accounts team



Receiving calls, emails and messages from potential tenants, discussing their needs and what's available Booking viewings into the viewing agent's diary Administering the referencing process - chasing referencing company and applicants Updating landlords on the progress of applicants and sharing feedback from viewings weekly Assisting the accounts team by taking enquiries / payments over the phone when necessary Contacting tenants before their contract expires to renew/end their stay Conducting rent reviews and issuing the relevant documentation
Job Types: Full-time, Permanent

Pay: 27,700.00-32,000.00 per year
