IPS is looking for a
Live Events Hire Coordinator
to join our growing team in Bletchley.
This hands-on role is key to ensuring our
live event hire operations
run smoothly. You'll work closely with our Trade Hire Manager to handle client enquiries efficiently, accurately, and professionally -- helping us maximise use of our extensive hire inventory.
You'll support all areas of event production, including
staging, lighting, rigging, video, and sound
, gaining full end-to-end experience across the entire hire process.
Key Responsibilities
Manage and coordinate client hire enquiries from start to finish
Select, price, and prepare equipment lists for trade dry hire
Liaise with the Transport Manager to arrange deliveries and collections
Build and maintain strong relationships with clients and suppliers
Represent IPS professionally at meetings, exhibitions, and events
Resolve equipment shortages and damages in line with company policy
Maintain accurate customer and equipment records
Verify customer insurance documentation and ensure compliance
Support stock checks, asset management, and data accuracy
Contribute to business development through client visits and marketing activities
Update product information and images on the company website
About You
We're looking for someone who is
organised, technically minded, and customer-focused
-- with a can-do attitude and strong attention to detail.
Essential skills and qualities:
Knowledge or keen interest in live events, music, or production
Awareness of staging, lighting, and technical equipment
Excellent written and verbal communication skills
Confident and professional phone manner
Good IT skills (Microsoft 365, SharePoint, Excel, Forms)
Strong organisation and time management skills
Ability to work under pressure and to deadlines
Full UK driving licence (some client visits required)
Reasonable physical fitness for occasional equipment handling
Desirable:
Experience using HireTrack rental software
Knowledge of SQL databases
