Job Summary


We are looking for an enthusiastic and reliable individual to join our team as an Events Planning Coordinator. You will be responsible for event operations, preparations and planning coordinating for all events at Race Timing Solutions. This is a great opportunity for entry-level individuals looking to gain experience in the events industry and be a vital part of event operations.

Pay


Annual Salary of 25,000 - 28,000 subject to suitability for the role.

Requirements for the Role


- Must have access to a reliable internet connection for remote work assignments

- Must be available to work Monday - Friday from 9 am - 5pm.

- Must have a full standard manual UK driving license

- Time management skills and the ability to work in a high-pressure environment

- Excellent organizational, analytical, and problem-solving skills.

- Willingness to work unsocial hours for events and to travel across the UK.

- Proactive, professional attitude when interacting with event organisers, participants, venue managers, and race adjudicators, with an ability to work on your initiative with minimum supervision.

Key Responsibilities


- Create events in Racetec (Timing system software), this includes creating a results website link

- Create a packing list for all equipment required for the event

- Create an event brief for the subcontractors or full-time staff attending the event

- Create a support whatsapp group chat, sharing event information required

- Respond to customer inquiries within 24 hours and feedback on any complaints to the team leader or Operations Manager

- Book accommodation for contractors or full time staff for events as required

- Book in contractor or full-time staff for events

- Import and export participant data

- Report any issues or concerns with the RTS equipment to your Team Leader or the Operations Manager via the feedback system.

- Collect event feedback from all staff and contractors to support with future development

- Attend 20 events per annum for training and development

- Coordinate with the allocated Team Leader and Operations Manager for the event assignments to be completed weekly, and attend all 1-2-1 meetings with the Operations Manager

- Complete the online training provided when onboarded with the company in the allocated time frame

- Achieve the monthly KPI set by my allocated Team Leader and Operations Manager, which will be subject to experience

- Complete all administrative assignments Monday-Friday in the required time frame.

We are partnered with one of the largest companies that time events across the UK and have over 50 years of collective experience within RTS in timing events. Race Timing Solutions Ltd is one of the country's leading Sports Timing companies. We have been providing race times and event equipment hire for various sports events across England, Scotland, and Wales for over 12 years. Events such as Triathlons, Marathons, Obstacle Course/Mud Races, Cyclocross, School and Charity Sportives, etc.

We are looking for staff to join our part-time event support teams and assist in providing timing, results, and equipment to events across the UK on weekends. One of our core values is that we work as one unit and are very determined to support every member of Race Timing Solutions (RTS), to create an excellent work and home life balance. Although this position is part-time, should we see you fit well into the company, then we will always look for opportunities to bring people on full-time where possible. Some of the highlights of the past 12 months within the company have included:

Provided chip timing services at the 2024 Doha Marathon. Delivered chip timing services at McLaren Technology Centre as part of an employee-run. Provided chip timing services at all races for the new 'TopFlight' run series organised by RunThrough throughout 2024 and live stream on YouTube.
