The Role
We are seeking a highly organised, proactive, and ambitious
Live Events & Production Coordinator
to join our growing team.
This is a hands-on, multifaceted role at the heart of our live operations. You will support the delivery of multiple shows and projects simultaneously, covering artist booking support, venue liaison, production advancing, touring logistics, and administrative support to the Managing Director.
This role is ideal for someone with proven live events or production experience who wants to grow in responsibility, skill set, and career stature as the company expands.
Key Duties and ResponsibilitiesEvent Booking and Venue Liaison
Support the booking, scheduling, and contracting of musicians and singers across multiple live projects, working under the guidance of the Managing Director
Act as a key point of contact for artists, agents, and managers, ensuring clear communication before, during, and after performances
Liaise with theatres, concert halls, and venues to coordinate event logistics, schedules, access times, and technical requirements
Manage event communications to ensure all venue requirements, schedules, and deliverables are clearly understood
Prepare, proofread, and manage artist and venue contracts, ensuring accuracy of terms, fees, and performance details
Production and Logistics
Coordinate all logistical aspects of shows, tours, and residencies, including routing, travel, accommodation, and hospitality where required
Advance shows by gathering and distributing technical specifications, stage plots, input lists, backline requirements, and staffing details
Create and maintain detailed production schedules, timelines, call sheets, and event briefs
Communicate schedule or production changes clearly and promptly to artists, venues, and production teams
Attend rehearsals, sound checks, and live events as required to support smooth on-site delivery and resolve issues in real time
Oversee merchandise sales at selected shows, including stock management, cash handling, and reconciliation
Manage merchandise fulfilment for e-commerce orders, coordinating with suppliers and couriers
Administration and MD Support
Provide day-to-day administrative support to the Managing Director, including diary management, travel bookings, payments, and expenses
Produce and maintain event documentation including risk assessments, health and safety paperwork, and production notes
Assist with budget tracking for shows and tours, monitoring costs and supporting financial reporting
Process invoices, artist payments, expenses, and petty cash in line with internal procedures
Maintain accurate records of bookings, contracts, schedules, and production information across multiple projects
Support the development and delivery of new live projects as they move into production
Build strong working relationships with artists, venues, suppliers, and production partners
Contribute ideas and improvements to systems and processes as the company continues to grow
Skills and Experience
Essential
Proven experience in live events coordination, production administration, or a similar role within music, theatre, or live entertainment
Excellent organisational skills with strong attention to detail
Ability to manage multiple projects and deadlines simultaneously
Confident written and verbal communication skills
Calm, solutions-focused approach with the ability to problem solve under pressure
Strong IT skills, including Microsoft Office or Google Workspace
Desirable
Experience with booking systems or CRM tools
Touring or residency production experience
Knowledge of contracts and live events budgeting
Working Pattern
This role requires flexibility. Evening and weekend work is routine due to live show schedules.
The role operates on a five-day working week out of seven, totalling 37.5 hours per week, with flexibility to adjust working days to suit operational needs.
