Summary
We have an excellent opportunity for an Administrator to join our Logistics team based in Barhill Cambridge. Reporting to the Depot General Manager, you will provide high-quality administrative support to ensure the smooth and efficient running of our Logistics and fleet operations.
This is a pivotal role within a fast-paced environment, requiring strong organisational skills, attention to detail, and the ability to work effectively as part of a professional team.
Main responsibilities:
To provide Logistics and Fleet administrative support to logistics functions around Cambridge and affiliated locations.
To engage with the driving fleet to ensure legal compliance around vehicle maintenance.
To support and provide a first Safety first approach to vehicle maintenance and delivery of service.
To support and plan routine maintenance efficiently to reduce impact to our operations.
Key tasks and responsibilities:
Working closely with the Depot General Manager the role holder will:
Work closely with the driving team to ensure all vehicles are safe and legal.
Ensuring robust maintenance plans are adhered to and implement an efficient maintenance plan for all vehicles.
Take ownership for the service performance being executed by our leasing partners and local maintenance suppliers.
Engage with all stakeholders to engage with repairs safely and efficiently.
Manage accident damage and repairs, ensuring action is taken to limit financial exposure to the company.
Continually look for improvements to manage fleet administration.
Accurately produce and submit/present regular updates to Depot General Manager around cost and rick assessments.
Liaise with drivers and suppliers to ensure 0 lost time from vehicles being off the road (VOR) and impacting the services we deliver.
Respond to emails and telephone calls - taking responsibility for escalating problems. This will involve basic problem solving and interrogating data.
Submit weekly and monthly reports.
To undertake ad hoc projects as required.
To be conversant and comply with all Health, Safety, and Environmental requirements published by the company
To always operate in a safe and responsible manner as per Department of Transport guidelines.
Essential Skills/ Qualifications:
Knowledge of logistics (required)
Awareness of vehicle legal compliance (required)
Ability to multitask and be able to communicate effectively.
Excellent problem solver and able to find solutions easily.
Good verbal and written communication skills
Ability to adapt their approach
Able to travel - Able to drive to transfer vehicles from site to site/garage and be able to work remotely if required (different office from time to time)
To be successful in this role the candidate needs to be flexible in their approach to working hours and think practical and sensitivity in their solution to problems.
*40 Hours per week (8.5hr days with 30 mins unpaid lunch) The working days are Monday to Friday with a suggested hour schedule of 08:30 - 17:00
