CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Mail Services Coordinator to join the team located in London.

About the Role:



As a CBRE Mail Services Coordinator, you will assist with providing administrative support to a large team or department. This job is part of the "front-of-house" function. They are responsible for providing office support to a client, business function, or individual contributor.

This role will demonstrate a positive, best-in-class office experience as a cultural ambassador, community advocate, and service leader.

As part of a "front-of-house" team, you will be responsible for providing excellent service and crafting a comfortable atmosphere by greeting visitors while supporting all employee-facing services.

This is a fully onsite Monday-Friday Role 07:00-18:00
(flexibility required).

What You'll Do:

Ensure that all packages received and delivered arrive the same day or advise the consignee of next-day arrival. Bring mail, packages, and stationery to assigned groups or locations as per the daily schedule. Oversee opening, sorting, prioritising, and distributing inbound mail. Oversee packaging, sorting, prioritising, and distributing outbound mail. Ensure all shipped packages are protected against damage. Apply appropriate labels and required identification to outgoing mail and packages. Assist with general administrative duties. This includes tracking packages, posting mail, and arranging courier services. Check daily and replenish, if necessary, all copy, mail and postage supplies. Processes supplies orders in alignment with client inventory processes and systems Answer common inquiries and effectively present information. Use existing tools and procedures to solve straightforward problems while exercising discretion. Perform administrative duties specific to the department such as conducting research, updating databases, and preparing collateral materials for mass mailings. Understand work routines and standards and apply skills and knowledge in a range of processes, procedures, and systems. Draft reports and correspondence; Answer common inquiries or complaints from clients, co-workers,and/or supervisors. Greets employees and announces clients and visitors. Issues visitor passes. Receives and transfers incoming calls to appropriate parties. Maintains awareness of the workspace. Work closely with other vendors to maintain and safe and comfortable environment Responds to customer requests and complaints with accurate and detailed information according to specific requests. Follows security and emergency procedures as defined for the property. Responds to emergencies in a calm, efficient manner. Acquires appropriate assistance and makes appropriate notifications by operating procedures. Recognize and solve typical and atypical problems that can occur in the work area without supervisory approval. Evaluate and select solutions from established operations. Follow standardized procedures and practices and receive regular but moderate supervision and guidance. Occasionally provides coordination and support for delivery of workplace services including Reception, Switchboard, and Room Management. A/V Support, Meeting and events coordination .

What You'll Need:

Ability to explain detailed and complicated information within the team in a clear and concise manner. Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. Strong organizational skills with a robust inquisitive mindset. General math skills. Ability to calculate advanced figures such as percentages, discounts, and markups. Excellent communication skills to exchange straightforward and complex information. Ability to follow basic work routines and standards in the application of work. Intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
