Key Responsibilities:
Daily & Weekly Tasks:
Process and post all supplier invoices and staff expenses
Prepare payment runs and monitor supplier payment terms
Maintain accurate creditor and debtor ledgers
Manage petty cash and club credit card reconciliations
Oversee member account transactions, including subscriptions, bar levy top-ups, and competitions
Prepare rotas for the office team, ensure all hours are recorded correctly and deal with any variances
Daily till reconciliations for all point of sales
Monthly Tasks:
Prepare monthly bank reconciliations across all club accounts
Assist with preparation of monthly management accounts and commentary
Reconcile control accounts including VAT, PAYE, and pensions
Administrate the company payroll, ensuring people are paid accurately and deal with any payroll related queries from staff members
Administer the company pension scheme by uploading monthly reports to the external pension provider and making any changes as advised by the scheme provider
Arrange collection of monthly direct debits for member subscriptions
Monitor cash flow and advise General Manager of variances or concerns
Ensure payment of monthly PAYE is paid as per HMRC deadlines
Complete FCA returns and ONS surveys
Quarterly & Annual Tasks:
Prepare and submit VAT returns in line with HMRC deadlines
Assist in preparing year-end documentation for auditors
Support the transition back to the permanent Accounts role holder
Systems and Compliance:
Maintain and improve financial filing systems
Ensure compliance with all financial and GDPR-related policies
Assist with software updates and integrations as needed (Sage, Intelligent Golf )
The Ideal Candidate Will Have:
Proven experience in a similar accounts or finance administration role
Strong working knowledge of Sage, accounting software
A strong understanding of double entry, accruals, and prepayments
High proficiency in Microsoft Excel and general IT systems
Understanding of Intelligent Golf would be advantage
Excellent attention to detail and the ability to work independently
Clear, professional communication skills - both written and verbal
A flexible, hands-on approach with the ability to meet deadlines
Experience working in a golf club, hospitality, or member-based organisation is an advantage but not essential
AAT or QBE qualified
