A bit about the role
As a key member of the reception team, you will be responsible for providing assistance and guidance to Finlay's employees and all visitors/callers to site. This role will work in close partnership with peers and the Executive Team to promote cross functional relationships and establish clear communication channels to ensure that common company goals are achieved.
SUMMARY OF RESPONSIBILITIES AND ACCOUNTABILITIES
To be the first point of contact for all visitors to the site. Responsible for making visitors welcome and ensuring they are dealt with professionally and efficiently, offering refreshments where appropriate and providing any protective clothing. Responsible for the Signing-In Book, as per Health & Safety and Hygiene regulations and company policies.
To be responsible for all telephone calls (Finlay Beverages/James Finlay Limited) to the main business telephone number from customers, suppliers, industry organisations, contractors and employees in the company. Working in a highly efficient manner; fielding calls and taking messages/actioning where appropriate to do so, ensuring that a professional and customer-orientated service is delivered, which is aligned to the company's key behaviours.
To locate personnel by use of the company address system as and when required.
To be responsible for good housekeeping of the Reception Area, keeping floor and surface areas clear and tidy, together with ensuring the plants are watered and cared for.
To be responsible for housekeeping of 'wardrobe' of visitors' protective clothing, reflector jackets, hairnets etc. sending to and receiving back from laundry when appropriate.
To be responsible for visitors' valuables, whilst visiting the Production Area.
To receive daily incoming post, sort and distribute into pigeon-holes; to be responsible for all outgoing mail, ensuring correct postage cost is paid, franking machine has correct credit and raising paperwork for any Special Delivery items.
To upload parcels for delivery on the courier website.
To ensure all delivery staff/courier agents are directed to the correct drop off point on site and ensure all staff are familiar with the company deliveries procedure.
To be responsible for the weekly Management Movement sheets; liaise with individuals and update and issue internally at close of play each Friday.
To book meeting rooms on the network system as and when required.
Provide ad hoc basic administration support when required.
To ensure that legal requirements and company procedures are adhered to under Health, Safety and Environment.
To be responsible for organising buffets as and when required.
To organise and communicate Charity Days.
To work full time as required to cover holidays and sickness of job share colleague (08.12-12.30).
To assist colleagues in the booking of hotels and trains for the purpose of business travel.
