Job Summary



The GP Receptionist and Administrator is the first point of contact for patients and visitors, representing the practice with professionalism, empathy, and discretion. This dual-role position involves delivering front-line reception services and supporting the clinical and administrative teams with a range of clerical duties. The post-holder plays a key role in ensuring the smooth day-to-day running of the practice and maintaining a welcoming and efficient environment.

Key Responsibilities



Reception Duties



Act as the first point of contact for patients, visitors, and external agencies. Represent the practice in a courteous and professional manner at all times. Greet and assist patients in person, by telephone, and electronically. Manage appointment bookings, cancellations, and rescheduling. Signpost patients to appropriate services or healthcare professionals. Handle patient queries and requests with professionalism and empathy. Open and close the building securely in accordance with practice procedures. Monitor and maintain the reception area to ensure a welcoming environment. Take payments for non-NHS work

Administrative Duties



Maintain accurate patient records using clinical systems (Vision). Process repeat prescriptions in line with practice protocols. Scan, file, and allocate incoming documents and medical records. Register new patients and update existing patient details. Support the clinical team with referrals, recalls, and correspondence. Handle and process clinical samples (e.g., blood, urine) in accordance with practice policy and infection control procedures.
Hours: 19 per week

Monday, Tuesday : 14:00 - 18:30

Wednesday, Thursday: 08:00 - 13:00

Pay: During Probation period this will be NMW (currently 12.21) rising to std reception wage (currently 12.65)

Experience:

Essential

Experience of working in an Office and/or in Administration; Experience of working in a public facing environment.
Desirable

Previous experience in a GP practice or healthcare setting; Knowledge of NHS policies and procedures; and Experience with Vision, or similar clinical system.

Skills and Attributes

Excellent communication and interpersonal skills; Strong IT skills and familiarity with electronic mailing and filing systems (Docman); Ability to work under pressure and manage multiple tasks; High level of accuracy and attention to detail; Commitment to confidentiality and data protection; Team-oriented with a flexible and proactive approach; Strong problem-solving skills; and Ability to manage workload and prioritise tasks effectively.

Pay: 12.21-12.65 per hour
