IMMEDIATE SUPERVISOR Assistant Practice Manager

RESPONSIBLE TO: Practice Manager



SALARY: 23,569/year; Full time equivalent



PURPOSE OF POST:



To ensure that the Reception Area is operated as smooth as possible, in order to provide the best possible service.

To provide a point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff.

To provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receptionist 1-Days of work 25 hours over:



Tuesday 1.30-6.30pm

Wednesday 8.00-5.30pm

Thursday 1.30-6.30pm

Friday 12.00-6.00pm

Receptionist 2-Days of work 24 hours over:



Monday 9.00-6.30pm

Tuesday 1.00-6.00pm

Wednesday 1.30-6.30pm

Friday 1.00-6.00pm

PRINCIPLE DUTIES AND RESPONSIBILITIES:



Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice To answer telephone calls in a proficient manner Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery Ensure that the telephone system is operational at the beginning of the day Use care navigation template to ensure effective booking of appointment system for GPs, Nurses and other service providers. To action requests for repeat / acute prescriptions and ensure they are ready for collection by the patients/pharmacists to specific timescale agreed Register new patients and enter patient information onto clinical system as required Respond to all queries and request for assistance from patients and other visitors Record home visits onto clinical system included all relevant information Maintain accurate patient notes and correspondence Ensure correspondence, letters, reports, results etc are filed and scanned on to clinical system Attend appropriate training courses and update knowledge base To action and deal with tasks on daily basis Deal with pathology results Ensure all patient forms are completed accurately Record all new patients and changes of patient details Deal with requests from doctors and other members of the Primary Health Care Team Scan and code patients' notes as required To cover for sickness and holidays as and when requested.

1. Personality

1.1 Self-driven with a positive outlook, and a clear focus on high quality customer service.

Mature, Reliable, tolerant, and determined.

Well presented and business-like. Keen for new experience, responsibility and accountability. Able to get on with others and be a team-player.

Education and Qualifications

Good standard of education.

GCE or equivalent in minimum of 4 subjects including English language grade C or above
3. Experience

Worked with the general public for at least 12 months.

Team working. Must be adept in use of MS
Office, particularly Word, and ideally SystmOne software or similar GP computing system knowledge. Use of Internet and email.

Worked in a GP practice


4. Knowledge

Day to day office routines.

NHS experience.

Knowledge of Medical Terminology.
5. Skills/Aptitude

Good communication skills and the ability to work as part of a team.

Good telephone skills and kind manner. A flexible approach to the work environment. Excellent time keeping. Able to work independently under pressure when required.
5.6 Able to commute reliably. Able to work extended hours on occasions when required.
