Hours: Min 12 hours per week over 3 days- Monday, Tuesday, Wednesday from 3.45- 7.45pm plus flexibility to provide cover when necessary, including Friday afternoons/ evenings.

Salary: Oxford Living Wage: 13.16 per hour

We are a large GP Practice in Headington looking to recruit a Part time - evenings- Medical receptionist with excellent communication skills to join our friendly team.

You will be the first point of contact for patients calling or visiting the practice and it is essential that you project a smart, professional, and friendly image at all times. Excellent telephone skills are essential, plus a helpful and efficient approach when dealing with patients, colleagues and visitors.

This is a busy and demanding role that requires flexibility and the ability to think on your feet. We are looking for a team player who will thrive in a high-pressure environment. You should be reliable, have good time keeping skills and a strong work ethic.

Experience is preferred but not essential as full training will be given. An ability to cover for extra shifts (planned absences and to cover at short notice)

is essential.

Job Summary:



To welcome patients and visitors to the Practice in a friendly, positive manner and to deal with telephone and personal enquiries calmly and professionally.

Key Responsibilities:



To welcome and direct patients and visitors on arrival. To open the premises, turn on computers in the reception area and open the waiting room. To be responsible for answering general enquiries, explaining surgery procedures, making new and follow up appointments. Receiving requests for repeat prescriptions and taking appropriate action if urgent. To collect letters and prescriptions from the doctors and file ready for patients to collect. Receiving and recording requests for home visits and printing of patient summaries. To update patient details e.g. change of address, in electronic and paper records. To ensure information regarding unresolved matters is handed over to colleagues at the end of a shift. To frank and post external mail. To file and extract records and any documents when needed. Register new patients to the Practice. To ensure specimens are bagged ready for daily collection. Filing of new patient records and reports. Ensuring stationary supplies are well stocked in the reception area. To liaise between doctors and patients. General housekeeping duties, ensuring the doctors' rooms, waiting room, reception area and staff kitchen are clean and tidy. Making tea and coffee when asked and load/unload the dishwasher. At the end of surgery, tidy and close the waiting room and doctors' rooms, lock doors, and windows, and turn off computers and air conditioning. Ensure the building is secure when leaving the practice at the end of the day. To ensure patient confidentiality at all times. Any other reasonable duties as requested.

Using personal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Actively reporting of health and safety hazards and infection hazards immediately when recognised Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role Undertaking periodic infection control training (minimum annually) Reporting potential risks identified

Person Specification



Specification Essential Desirable



Education/Training

Good standard of general education.



Grade C GCSE English and Maths or equivalent qualifications.
Experience

Experience of working with the public. Reception/customer facing role. Experience of the NHS.

Good interpersonal and communication skills. Strong IT skills. EMIS system. Ability to work under pressure. Team player. Attention to detail. Ability to work independently and to demonstrate initiative. Excellent telephone manner.
