Receptionist
Job Purpose:
To provide reception and administrative support to enable the smooth running of surgery services
Reports To:
Reception Manager
Responsibilities:
To provide support to surgery users from the reception desk, the internet and on the telephone. To respond to queries and provide information as required. To support the communication between patients and health professionals.
Key Tasks & Duties:
Ensure the efficiency of the appointment system
Welcome patients and visitors and explain surgery and waiting room procedures
Explain practice procedure and requirements to new patients and those seeking temporary patient status
Answer general enquiries from patients and other surgery users over the telephone and face to face
Ensure telephones are answered in a timely manner
Receive and inform doctors of requests for home visits in line with agreed procedures
Liaise with other agencies (e.g. pharmacy, hospital) to ensure continuity of service for patients
To use computer system in accordance with practice policy
Receive and record payment for chargeable items and provide receipt to patient when requested
Ensure pathology specimens are placed in designated box for transport to laboratory in timely manner or given to the practice nurse as appropriate
Respond to tasks in the on line platform, EMIS and Docman as needed
Ensure consulting rooms are secure at the end of each day in preparation for the next working day
Ensure patient reception areas and noticeboards are tidy and kept up to date
Ensure end of day procedures are followed
Provide support to clinicians as requested
Provide administrative support to reception and general practice functions
Ensure that reception NHS email is checked and actioned throughout the working day
Ensure that personal NHS Mail and EMIS Emails are read and actioned during each working shift
Other Tasks & Duties:
Repeat Prescriptions - Action requests for prescriptions according to practice protocol and doctors' instructions
Attend support staff meetings, mandatory training and other team/practice events from time to time
Maintain patient confidentiality at all times
Maintain good standard of patient records
Maintain the security of the building and personnel by following correct procedures
The scope and range of activities to be performed by the post holder is subject to change and variation according to prevailing operational circumstances, consequently this job description may be subject to management variation. You may at times be asked to assist with other duties.
