Hours of work:
Monday: 13:30-18.30
Tuesday: Day off
Wednesday: 13:30 - 18:30
Thursday: 08:00-13:00
Friday: 08:00 - 18:30 (30 min unpaid lunch break)
Job Overview
The successful candidate will be the first point of contact for patients and visitors, providing exceptional customer service while managing administrative tasks in a busy medical environment. This role is vital in ensuring the smooth operation of our practice and enhancing the patient experience.
Duties
:
Greet patients coming into the surgery and direct them appropriately
Create and update the appointment book under the supervision of the Reception Manager
Communicate with patients. Relatives and carers using all methods available including telephone, face-to-face, text messages and emails
Assist with total triage administration
Answer incoming phone calls, transferring calls or dealing with the callers' request appropriately
Process and effectively signpost patients to the correct service or appropriate health care professional depending on the presenting condition
Data entry of new and temporary registrations and relevant patient information as required, explaining to patients the practice process around registering ensuring the patients are residing within the practice boundary and appropriate documents are completed
Action repeat prescription requests, ensuring they are ready for collection by the patient within 48 hours or have been sent to the patient's choice of nominated pharmacy.
Input data into patients' healthcare records as necessary
Provide results of tests and investigations as requested and advised by the GP or other healthcare professionals
Update patient demographic information when changes are identified.
Advise patients of relevant charges for private services, accept payments and issue receipts.
Respond to queries and request for information from patients and other agencies.
Adhere to information governance policies and procedures
Undertake a broad spectrum of administrative duties commensurate with the role
Promote on-line access for booking of appointments and requesting of repeat prescriptions
Record and book requests for ambulances.
Ensure the reception and waiting areas are kept neat and tidy
Provision of refreshments as required, keeping the kitchen area clean and tidy and ensuring all dishes are washed
Receive and make telephone calls as required / to accurately record messages.
Open the surgery premises and prepare for surgery
Secure premises according to practice guidelines.
Raise service requests with members of the wider healthcare team including District Nurses, Health Visitors, community matron, palliative care nurses and other services
Process the actions recommended by clinicians from hospital letters and pathology/radiology
Produce pathology requests as directed by the clinician
Maintain awareness of target patient groups e.g. GSF, ILCT, Admissions Avoidance
Support QOF/QIF and enhanced service targets as directed by the practice manager/Reception manager
Follow instructions given by the Practice Manager and Reception Manager.
Undertake specific data entry or admin. projects as instructed by Practice Manager/reception manager
Adhere to all practice policies procedures and guidelines.
Comply with the standards set out in the contract of employment.
Undertake any other duties as appropriate to the role.
