JOB TITLE: MEDICAL RECEPTIONIST/ADMINISTRATOR

REPORTS TO: PRACTICE MANAGER



HOURS: 37.5 hours per week



Job Summary:



Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job Responsibilities:



Main Duties and ResponsibilitiesAdministration



Maintain thorough knowledge of all Practice procedures and work in accordance with written protocols. Retrieve, file, and update patient medical records as required. File incoming post, scan and code documents into EMIS Web accurately. Fax, scan, and photocopy as requested. Support the Practice Manager and clinicians with administrative tasks as required.

Reception



Receive, welcome, and direct patients consulting with members of the Practice team. Handle face-to-face and telephone queries efficiently and with sensitivity. Hand completed repeat prescriptions to patients and check personal details for accuracy. Cover all reception duties as necessary, ensuring a smooth service for patients. Promote good communication between patients and the healthcare team.

Appointments



Process appointment requests for same-day and future appointments via telephone and in person. Manage home visit requests and ensure they are logged and allocated appropriately. Use

EMIS Web

to book, amend, and record appointments accurately. Monitor appointment availability and communicate any scheduling issues to the Practice Manager.

Computer and EMIS Responsibilities



Register new patients, input data accurately into

EMIS Web

, and manage patient records. Process changes of address, contact details, or patient information on EMIS Web and in medical records. Process repeat prescription requests in accordance with Practice guidelines. Use EMIS Web to access, update, and manage patient records, recall systems, and clinical correspondence. Support clinicians and staff in using EMIS effectively and report any IT issues promptly.

Telephone



Operate the telephone system efficiently during and after hours. Answer calls promptly and courteously, ensuring patient confidentiality at all times. Cover for colleagues when required to maintain service continuity.

Other Tasks



Ensure building security; have thorough knowledge of doors, windows, and alarm procedures. Participate in team meetings and contribute to the continuous improvement of Practice systems. Undertake any other duties as required by the Practice Manager or Clinical Lead.

Confidentiality



Respect patient confidentiality at all times. Handle sensitive information in accordance with GDPR and Practice policies. Only share patient information with authorised personnel.

Contribution to the Implementation of Services



Apply and adhere to Practice policies, standards, and guidance. Participate in discussions about service improvement and patient care processes. Engage in audit and feedback activities as appropriate.

Health & Safety



Promote and maintain own and others' health, safety, and security in accordance with Practice policy. Identify and report any risks or hazards in the workplace. Follow infection control and cleanliness standards at all times. Participate in mandatory health and safety training.

Essential Skills and Experience



Previous experience working in a GP surgery or healthcare environment. Confident use of

EMIS Web

(minimum 6 months experience preferred). Excellent communication and interpersonal skills. Strong IT and administrative skills with attention to detail. Ability to work well under pressure and multitask effectively. Commitment to confidentiality, professionalism, and patient-centred care.

Desirable Skills and Experience



Knowledge of NHS systems such as AccuRx, or DXS. Understanding of medical terminology. Experience in handling prescription requests and appointment scheduling.
