Job Summary


We are seeking a highly organised and efficient Medical Secretary to provide essential administrative support within our healthcare facility. The successful candidate will act as a key point of contact for patients, healthcare professionals, and external organisations, ensuring smooth operation of daily activities. This role is responsible for providing secretarial services to the GP's , Advanced Nurse Practitioners and the Practice Manager.

Responsibilities



Processing patient referrals for secondary services, including managing patient appointments, scheduling consultations, and maintaining accurate records To provide an efficient audio, copy typing and word processing service for GP's and health professionals as required. This includes dictation and the typing of letters, reports, patient referrals, minutes, memorandums, etc in an accurate and quality manner using a digital system To liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes. To establish and maintain filling and administrative systems so that written or computer information is easily accessible and secure. File patient records and correspondence in patient medical records Work with E-referral booking system and liaise with patients re appointments Answering phone calls promptly and professionally, directing enquiries appropriately Preparing and organising medical documentation, reports, and correspondence Assisting with billing procedures and processing insurance claims where applicable Maintaining confidentiality of sensitive patient information in accordance with data protection regulations Liaising with healthcare professionals to coordinate patient care and follow-up appointments Handling incoming mail and correspondence, ensuring timely distribution Updating and maintenance of franking machine with postage when required and monitor price increases. Communicate effectively with the practice team to ensure policies and procedures are kept up to date Demonstrate duties to new or less experienced staff acting as a mentor To provide cover for members of the secretarial/ administration team during periods of sickness and annual leave. Supporting the reception team with general administrative duties as required Any other reasonable duties requested by the Practice Manager or Operations Manager and Partners Resolve job related issues, including patient documentation and help resolve minor problems Incident reporting via SIRMS (safeguard incident & risk management system)

Requirements



Proven office experience, within a healthcare or medical setting Strong administrative skills with excellent organisational abilities Proficiency in using office software such as MS Office Suite (Word, Excel, Outlook) Exceptional communication skills, both written and verbal Ability to prioritise tasks efficiently in a fast-paced environment Discretion and confidentiality when handling sensitive information A proactive attitude with attention to detail Must have: previous experience working as a Medical Secretary or in a similar role within the healthcare sector
Job Type: Part-time

Pay: From 13.90 per hour

Expected hours: 15 - 20 per week
