Mortgage and Protection Administrator, with progression to Adviser.



Location: Office based role in Skipton, North Yorkshire

Reports to: Mortgage & Protection Adviser / Managing Director

Employment Type: Permanent / Full time

Salary: 24,000 p/a basic salary, plus incentives

Role Purpose



The Mortgage and Protection Administrator, provides essential administrative and customer service support to mortgage and protection advisers, ensuring all applications are processed efficiently, accurately, and in line with regulatory standards. The role involves managing the full lifecycle of mortgage and protection cases -- from initial enquiry, through to application and completion / policy activation -- while delivering an exceptional client experience.

The career progression is to Mortgage and Protection Adviser, once fully qualified and all the relevant competencies have been appropriately demonstrated / evidenced.

You will be provided with access to study material and online training courses for the required qualifications and assistance can be provided in booking the required exams. Study will be in your own time and not during work hours.

Your practical training and development for the role of an Adviser will essentially be "on-the-job" training, working closely with an experienced adviser and being involved in supportingthe end-to-end client journey and advice process.

You will be an integral part of a small and growing business. Personality, adaptability, common sense, initiative, honesty, integrity, career aspirations and a desire to grow with the business, are imperative to this role.

Key Responsibilities



Mortgage Administration

Process new client creation / existing client retention tasks. Assist with information gathering, document disclosure review and analysis, in preparation for the adviser's research and recommendations. Process and package mortgage applications and manage the progress from submission through to completion. Keeping all relevant parties appropriately updated. Check all documentation for accuracy, completeness, and compliance with lender and FCA requirements. Liaise with clients, lenders, solicitors, and advisers to obtain and update information throughout the process. Maintain detailed case notes and ensure accurate data entry into CRM and lender systems. Produce and issue client documentation such as Key Facts Illustrations (KFIs), suitability letters, and lender updates. Monitor and action the client review and retention process, according to the company procedures.
Protection Administration

Support advisers with the preparation and submission of life insurance, critical illness, income protection, and related protection applications. Liaise with clients, insurers, and medical underwriters to progress cases smoothly. Track protection applications to ensure timely activation and payment of policies. Handle cancellations, amendments, and reinstatements as needed. Maintain up-to-date knowledge of protection products and insurer processes. Monitor and action the client review and retention process, according to the company procedures.
Client and Adviser Support

Provide clients with timely and accurate updates on the progress of their mortgage and protection applications. Respond to client and adviser queries promptly and professionally. Ensure advisers have the necessary administrative support to deliver efficient, compliant, and high-quality advice.
Compliance and Data Management

Ensure all activity adheres to FCA regulations and company compliance procedures. Maintain accurate client records and documentation in accordance with GDPR and internal data protection policies. Conduct regular file checks to ensure audit readiness and data integrity.
Team Collaboration and Process Improvement

Work closely with advisers, compliance officers, and management to streamline workflows. Contribute to process improvements and share best practices within the team. Provide administrative cover for colleagues when required.

Skills and Competencies



Strong attention to detail and accuracy across multiple cases. Excellent organisational and time-management skills. Clear, professional communication (both written and verbal). Proactive and client-focused, with the ability to prioritise under pressure. Sound understanding of mortgage and protection products and the Financial Conduct Authority. Proficient with CRM systems, lender portals, and Microsoft Office suite (Excel, Word, Outlook). A confident, friendly, approachable telephone manner. A positive problem solving and solutions seeking mindset with the ability to use initiative to overcome challenging situations.

Qualifications and Experience



Previous experience in mortgage and/or protection administration within a financial services environment is essential. Understanding of mortgage and protection processes, documentation, and compliance requirements. Knowledge of FCA regulations and data protection standards. CeMAP and/or RO5 (Protection) qualification desirable, or willingness to work towards is imperative to this role.
