Job Description

As a Motor Transport Administrator at HMS Nelson, Portsmouth you will work with a small dedicated team who operate and manage variety of vehicles and drivers, including PCVs (coaches & minibuses), LGVs (vans/pick-up) and cars to meet customer requirements. What you\'ll do:

• Act as first point of contact for customer bookings and enquiries, by face, email and phone.
• Operate a mandated booking system for all driven requests, ensuring best vehicle and driver resource is allocated to all tasking whilst complying with EU driving regulations.
• Tasking and liaising with all drivers to ensure all information is understood.
• Operate a booking system for self-drive vehicles, ensuring these vehicles are available for use as required and in an acceptable standard.
• Receipt and record self-drive transport requests, identifying those which are out-of-scope and report as appropriate.
• Programme planned maintenance, liaising with vehicle custodians to ensure vehicles are made available and relevant records are kept in accordance with DVSA /MoD requirements.
• Record and report any vehicle defects that might render a vehicle non-compliant, utilising MOD White Fleet procedures and liaise with nominated approved contractors as required.
• Collate, compile and record monthly vehicle usage records (ATUDs).
• Complete all task/reporting documentation in accordance with legal requirements and MoD/Sodexo operating procedures.
• Issue and receipt: fuel agency cards, M6 toll cards and electric vehicle charging cards when required.
• Holding an out-of-hours duty phone, either on a roster basis or, as and when required by the MT Supervisor to deal with and manage enquiries by drivers and customers.

What you bring:

• Excellent team ethos and superb inter-communication skills, you\'ll be a key people person on site.
• Ability to prioritise tasks and remain calm under pressure
• Previous experience in a similar role is a bonus! But if you feel you can adapt to new roles quickly and have computer skills, then we would still love to hear from you!
• Good customer facing skills and the ability to develop close working relationships
• Flexible approach to accommodate changing requirements and priorities
• Full driving licence is desirable
