Purpose of the Role



To lead and manage all non-teaching aspects of the setting including finance, administration, compliance, data protection, facilities, health & safety, and supporting recruitment processes. To ensure the nursery operates efficiently, remains financially sustainable, meets statutory and regulatory requirements, and delivers high-quality outcomes for children and families. The postholder must have an understanding of nursery Key Performance Indicators (KPIs) and use them to support the management and improvement of the setting.

Key Duties and Responsibilities



1. Financial Management



Lead on budget planning, forecasting, and monthly monitoring. Manage invoicing, funding claims (EYE, 15/30 hours), debt control, and financial reporting. Maintain accurate financial records in accordance with legislation and organisational policy. Ensure best value in purchasing decisions. Contribute to strategic planning linked to financial sustainability.

2. Administration & Recruitment Support



Lead the administrative function, ensuring smooth day-to-day operations. Support the recruitment process, including advertising, arranging interviews, and maintaining safer recruitment documentation. Ensure staff records are stored securely in line with GDPR. Oversee communication systems, newsletters, website, and social media (if relevant). Support staff rota information for payroll purposes (administrative only).

3. Compliance & Policy



Maintain policies and procedures and ensure statutory compliance. Support the Manager in preparing for Ofsted inspections. Monitor the single central record (where applicable). Ensure safer recruitment procedures are adhered to. Support safeguarding processes by maintaining secure and accurate data records.

4. Health & Safety and Premises



Act as Health & Safety lead in partnership with the Manager. Maintain building compliance records (fire safety, risk assessments, security, etc.). Monitor site maintenance, repairs, and cleaning contracts. Maintain asset registers and inventories.

5. ICT and Data



Lead on GDPR compliance and data protection processes. Ensure secure data storage and effective digital systems. Support digital safeguarding and cyber security measures.

6. Leadership & Strategic Working



Contribute to the vision and strategic direction of the setting. Attend senior leadership meetings. Analyse data and produce reports for governance/ownership. Use knowledge of nursery KPIs to monitor performance and inform improvements.

Person Specification - Business Manager



Qualifications



Business, finance, or administration qualification (or relevant experience). GCSE English and Maths (or equivalent).

Desirable:

Early Years or school business management qualification; accounting or finance certifications (AAT, CIPD, etc.).

Experience



Financial management and budgeting. Administrative and organisational management. Using financial and administrative systems software. Experience in education or Early Years settings is desirable.

Knowledge



Financial procedures and budget monitoring. GDPR and confidentiality. Safeguarding responsibilities. Statutory compliance within an Early Years setting. Nursery KPIs and how they support operational and strategic planning.

Skills & Competencies



Excellent organisational skills. Strong written and verbal communication. Ability to prioritise and meet deadlines. Analytical and problem-solving skills. High level of accuracy and attention to detail. Ability to build positive relationships with staff, families, and stakeholders.
