We are seeking a motivated and enthusiastic Office Administration Trainee to join our busy team. In this entry-level role, you will assist with a varied range of administrative tasks, supporting project managers, technical staff and the office team to ensure smooth daily operations. Key Responsibilities:
General Administration:
Provide administrative support to the team, including data entry, document and file management.
Handle incoming calls, emails, and other communications, directing them to the appropriate team members.
Maintain office supplies and equipment, and coordinate with suppliers as needed.
Project Support:
Assist project managers with preparation of information, management of documentation, and logistics for site activities.
Prepare and update project records, including contracts, invoices, and client files.
Track project timelines, milestones, and deadlines to support the team in meeting project goals.
Document Management:
Help maintain electronic and physical filing systems for easy access to project-related and office documents.
Ensure all records are accurate, organized, and up-to-date in compliance with company policies.
Customer and Supplier Coordination:
Communicate professionally with clients, contractors, and suppliers as needed, helping to manage inquiries, pricing, deliveries and coordination of information between teams.
Assist in preparing quotes, contracts, and other client documents as directed.
Health & Safety Compliance:
Support the administration of health and safety documentation for projects, ensuring proper records are kept.
Assist with arranging, recording and tracking staff training and associated certification records.
Data Entry & Reporting:
Enter and update data related to projects, clients, and office records, maintaining high accuracy and attention to detail.
Assist with preparing reports on project status, financial records, and office performance as needed.

Note that the this is a full time, office-based position at our Ribble Valley premises; therefore applicants would benefit from being local or having their own transport.
Entry level salary will be 12.60 per hour, working 8.45am - 5pm Monday to Thursday and 8.45am - 4pm Friday. Annual holiday entitlement starts at 25 days plus public holidays, and applicants will be eligible to join the company's private healthcare scheme after successfully completing a 6 month probationary period.
