Office Administrator

to join our friendly team and help ensure the smooth day-to-day running of our school office.

Salary:

25,583 to 25,989 ( Pro rata and term time only)

Contract Type:

Fixed Term

Working Pattern:

Monday to Friday 8.25am to 3.25pm (Term Time only)

Undertake reception duties, answering general telephone and face-to-face enquiries and signing in visitors.

Greet and assist visitors, students (including late arrivals), and staff in a courteous and professional manner, adhering to school safeguarding policy.

Answer and direct incoming calls, take messages, and manage general enquiries email correspondence.

Maintain visitor logs and ensure safeguarding procedures re: entry / exit to school are followed.

Oversee and maintain the Health and Safety Checks and compliance for the school.

Ensure site safety for pupils, contractors and staff (including as Fire Warden)

Maintain and collate pupil records using online and filing systems

Support administrative tasks such as photocopying, filing and data entry.

Manage incoming and outgoing mail and deliveries.

Support with the upkeep of the school website

Assist with scheduling appointments and meetings, arranging refreshments when required.

Provide general support to the school office and leadership team.

Respond to queries from parents and carers with discretion and empathy.

Maintain confidentiality and uphold school policies at all times.

Assist with school transport arrangements.


RESPONSIBILTIES




Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to the Headteacher. Be aware of and support difference and ensure equal opportunities for all. Contribute to the overall ethos/work/aims of the school. Appreciate and support the role of other professionals. Attend and participate in relevant meetings as required. Participate in training and other learning activities and performance development as required. To participate actively in supporting the principles and practice of equality of opportunity as laid down in the school's Policy. To comply with all health and safety legislation and school Policy as appropriate. As a term of employment to carry out any other reasonable duties and/or times of work as may be reasonably required of you in accordance with the grade and general level of responsibility within the organisation.


What You Need to Succeed

The successful candidate will have:




Strong administrative knowledge and excellent organisational skills, with a keen eye for detail. Confidence in using computer systems, including Microsoft Office and school management software (training will be provided). Excellent communication and interpersonal skills, with the ability to build positive relationships across the school community. The ability to manage multiple priorities calmly and efficiently, even under pressure. Experience supervising external staff and contractors. A good understanding of confidentiality, safeguarding, and data protection. Previous experience in a similar administrative role (school experience desirable but not essential).
