Job Description

We are seeking a proactive and organized Office Administrator/Personal Assistant to join our transport company. This role is ideal for a graduate who is looking to play a pivotal part in our dynamic team, supporting daily office operations and providing personalized administrative support to senior management. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:



Administrative Support:

Manage the day-to-day administrative tasks, including answering phone calls, responding to emails, handling correspondence, and organizing paperwork.

Personal Assistance:

Provide direct support to senior management, including managing schedules, booking appointments, arranging travel and accommodation, and preparing meeting agendas.

Office Management:

Ensure the smooth running of the office by ordering supplies, maintaining office equipment, and managing office maintenance requests.

Data Entry & Reporting:

Maintain accurate records of transportation schedules, expenses, and employee information. Prepare regular reports and presentations as required.

Document Management:

Create, organize, and maintain electronic and paper filing systems for company documents, contracts, and confidential information.

Communication:

Liaise with clients, suppliers, and internal teams, ensuring effective communication and prompt responses to inquiries.

Logistics Support:

Assist in coordinating transport schedules, tracking deliveries, and ensuring that drivers have all necessary documentation for their routes.

Invoicing & Billing:

Support the finance team with basic invoicing, processing payments, and tracking expenses related to transportation services.

Meeting Coordination:

Organize and coordinate meetings, including booking venues, preparing materials, and taking minutes when required.

Project Support:

Assist with special projects and tasks as assigned by management, ensuring deadlines are met and tasks are completed to a high standard.

Customer Service:

Handle customer inquiries and provide assistance where necessary, ensuring a high level of customer satisfaction.

Qualifications and Skills:



Education:

A graduate degree (Bachelor's) in Business Administration, Management, Logistics, or a related field.

Experience:

Previous experience in an administrative or personal assistant role is preferred, ideally within the transport or logistics industry.

Technical Skills:

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with using office equipment.

Communication Skills:

Excellent verbal and written communication skills, with a professional and courteous manner.

Organizational Skills:

Strong organizational and multitasking abilities, with a high level of attention to detail.

Problem-Solving:

Ability to work independently, prioritize tasks, and solve problems efficiently.

Interpersonal Skills:

A team player with a positive attitude and the ability to build relationships with colleagues and clients.

Time Management:

Capable of managing time effectively, especially when working under pressure and meeting deadlines.

Confidentiality:

Ability to handle sensitive information with discretion and maintain confidentiality.

Pay: 25,000.00-26,000.00 per year
