About Us
: YES is a charity which supports young people between the ages of 11 and 25 in the Colchester & Tendring areas, with an exciting new expansion into Suffolk. YES offers information, advice and support on housing and homelessness prevention, young people's pregnancy and parenting support, counselling, wellbeing and mentoring / volunteering. YES has been operating since 1988. The charity headquarters are in Trinity Street, Colchester with other centres in Holland-on Sea, Bury St Edmunds and Ipswich.
About the job:
We are looking for an experienced, dynamic and flexible Office Administrator to join our team and support our daily operations. Based in the Colchester office you will be the welcoming first point of contact for clients, professionals and visitors and will be passionate about supporting young people.
You must be well organised, proactive and willing to learn new skills and turn your hand to a wide range of jobs on a daily basis. Importantly you will be a great team player with excellent communication skills able to build positive relationships with colleagues and customers.
Key Responsibilities
:
Reception and Front Office Duties
: To manage the reception area, greet clients and visitors, and handle incoming calls professionally. To provide accurate and useful information to service users including signposting where appropriate. To prepare for meetings or room bookings, including setting up equipment and preparing refreshments.
Human Resources (HR) and Health & Safety Administration
: Assist with HR tasks such as coordinating recruitment processes, staff development, and ensuring compliance with health and safety regulations. To be a fire marshal, carry out risk assessments and the weekly fire alarm testing.
General Administrative Duties
: Perform a variety of administrative tasks to support the Chief Executive Officer and the smooth running of the office, including filing, managing bookings and diaries and managing office supplies. To maintain policies and procedure files, including researching and drafting new policies where required.
Marketing Support
: to be willing and able to promote YES by creating content and posting on social media platforms, coordinating newsletters and updates. An interest in, or experience of, updating and developing the website would be beneficial.
Flexibility and Team Support
: Be willing to adapt to the daily needs of the charity, providing support wherever needed and working collaboratively with the team.

: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Previous Experience
:
Proven experience in an administrative role is essential.
Knowledge of HR and health & safety procedures is an advantage.
An interest in, or experience of, websites, social media and marketing is an advantage.
A positive attitude and a commitment to the mission of YES is essential.

Holidays
