Office Administrator / Document Controller
to support our team and help ensure the smooth running of both office operations and project documentation.
The Role:
This hybrid role is key to supporting the administrative running of the office and managing technical documentation for multiple engineering projects. You'll work closely with the office manager, engineers and directors, playing a vital part in ensuring the efficiency, accuracy and compliance of our internal systems and project outputs.
Key Responsibilities:
Role to include some or all the following
Office Administration:
Manage general communications, including post, phone calls and emails
Assist with scheduling, meeting coordination, and diary management for the team
Maintain office supplies and support upkeep of equipment and shared spaces
Help with HR administration tasks, including staff onboarding and record-keeping
Liaise with the Office/Finance Manager to ensure continuity across the two offices
Assist in collating monthly finance resources, including invoicing, expenses and other supporting documents
Support internal events, training sessions and office communications
Support and coordinate travel arrangements as and when required
Document Control:
Set up, organise and track project documentation in line with company QA processes
Maintain drawing registers, issue sheets, and revision histories
Distribute technical documents to clients, contractors, and consultants, recording correspondence
Ensure consistent document formatting, naming conventions, and version control
Handle sensitive information with discretion and always ensure confidentiality
What We're Looking For:
Experience in a similar administrative and/or document control role, ideally within engineering or construction
Understanding of document control procedures and familiarity with technical drawings
Strong IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with document control software (e.g., SharePoint, Viewpoint, Aconex, Asite) desirable
Excellent organisation and attention to detail
Clear communication skills and the ability to work well with both technical and support teams
A positive, proactive attitude and willingness to take ownership of tasks
