Status:

School Administrative Assistant - Finance & HR

Responsibility:

Providing administrative support to the school as part of the admin team

Pay Scale Point:

ME7 salary range depending on experience

Annual Salary:

Salary range 32,533 - 33,987

pro rata

equivalent 28,867 - 30,157

Work Hours:

Monday - Friday 8.00am - 4.00pm - 35 hrs/39 weeks per year,

Term:

Fixed term contract for one year

The successful candidate would ideally have relevant qualifications and experience of working

as part of an admin team in a school or business setting.

Knowledge of first aid, though not essential, would be beneficial.

Responsibilities

1. To undertake a diverse range of secretarial and administrative duties as directed by the SBM. Primarily Financial & HR; use of the schools accounting software (Access Financials); Creating Purchase Orders/Paying Invoices debts/Bank statement reconciliation/Petty Cash/. Use of schools' data entry system (Arbor) maintaining staff records, including sickness & special leave

2. To assist with HR; preparation of recruitment materials/recording & managing accurate absence and overtime records on schools HR iTrent system, liaising with mangers and staff where required

3. To produce and distribute letters/correspondence to parents using ParentMail, email and the postal system

4. To deal with electronic mail, both incoming and outgoing, in a secure manner,regularly checking email, correspondence and appointments to support the smooth running of the school office

5. To manage the admission procedures for pupils to both nursery and main school and Year 6 progression to High Schools. Liaison with LA with regard to procedures and requirements. Liaison with previous school/nurseries for transfer of data and files. To ensure accurate and timely data is provided by parents.

6. To manage the transfer of records for pupil leavers coordinating electronic data transfers using CTF via S2S website. To follow up on pupil's destinations insuring all start at their specified new schools.

7. To manage academic year end procedures (Arbor), promoting pupils through the school years.

8. To be responsible for Single Central Record & applications/renewals and be responsible for compliance to safer recruitment of staff; DBS & Right To Work checks

9. To be responsible for the school census; ensuring all data is correctly entered/reported and rectifying any issues

10. Use Excel to administer extracurricular clubs etc.

11. To manage all bookings and finance of class trips and activities; collect parental permission and contributions, record income in accordance with Audit and school procedural requirements, follow up late payments.

12. Make and receive telephone calls following up any resultant actions and filtering calls before passing them onto other members of staff, if it is deemed necessary

13. To work as part of the school office/administration team, liaising regularly over outstanding tasks and giving general support to all. Also to work effectively with other staff across the school.

14. To respect confidentiality at all times

15. Ensure that appropriate records are maintained to support compliance in all areas including Data Protection, Safeguarding and Health & Safety. Supporting with the management and handling of data according to the requirements of GDPR

16. To be responsible for staff absence and overtime recording

17. To cover/manage School Reception as and when required

18. To cover basic first aid duties during school break times as and when required

19. Attend relevant training and take responsibility for own personal and professional development

20. Committed to following the school's policies and ethos, whilst helping us make them even better.

21. To undertake any other duties as reasonably delegated to you by the Head Teacher or School Business Manager

22. General clerical duties including photocopying, scanning, filing & shredding on a daily basis.
