Duties



Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and courtesy Oversee schedule management for executives and team members, coordinating meetings, appointments, and calendar updates efficiently Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers Assist with human resources tasks such as onboarding new staff, maintaining employee records, and supporting training & development initiatives Perform bookkeeping and basic accounting duties using QuickBooks or similar software to ensure accurate financial records Support payroll processing by collecting timesheets, verifying hours worked, and ensuring timely payments Organize company events, meetings, and team-building activities to promote a collaborative work environment Maintain filing systems--both digital and physical--ensuring easy retrieval of documents and compliance with record-keeping policies Support office management activities including budgeting, inventory control, and ensuring a safe, efficient workspace

Experience



Proven experience in office administration or related roles within a professional environment Supervising experience is preferred to oversee administrative staff or support teams effectively Strong proficiency in QuickBooks or comparable bookkeeping software is essential Demonstrated ability in schedule management, calendar coordination, and multi-tasking in fast-paced settings Experience managing vendor relationships and negotiating contracts to optimize office resources Background in human resources functions such as onboarding, employee records management, and payroll support Familiarity with medical office management or healthcare settings is a plus but not required Excellent communication skills coupled with organizational prowess to handle clerical tasks like filing, phone etiquette, and front desk operations Ability to train new staff members on office procedures and support ongoing development initiatives
