Job Summary



Waverley Day Centre is seeking an Office Administrator to run the office activities of this friendly and busy day centre for older people based in Waverley Road, Kenilworth. The role holder will have some accounting experience and will ideally have worked with Xero or a similar online accounting package. We would like to hear from candidates looking to work 2, 4-hour shifts per week. The specific days and times are negotiable to suit an individual who is looking for some flexibility.

Key Responsibilities

Managing the general office activities for the day centre which includes management of administrative processes, physical and digital filing, petty cash, administration of room bookings and general administrative duties. Managing accounts, payable and receivable using the Xero accounting package. Raising and processing electronic client invoices. Completion of data entry for monthly payroll run using HMRC basic payroll tools. Maintaining accurate financial records. Liaise with the external accountants to ensure accurate end of year accounts are produced. Provide support to the Day Centre Manager by improving and updating administrative processes. Provide support to the Day Centre Manager in promoting the centre using social media platforms e.g. Facebook. Maintain marketing materials, ensuring they are up to date. Update the centre website ensuring information is up to date.
Essential Skills and Experience

Experience of having worked in a standalone office administrator role. Some accounts experience, using accounting software. Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) Strong verbal and written communication skills for liaising with clients, their family members, colleagues and external agencies using the telephone and e-mail. Attention to detail with a meticulous approach to tasks e.g. data entry, record keeping, to ensure accuracy. Discretion and confidentiality with the ability to handle sensitive and confidential information with professionalism. Experience of payroll data input using payroll software.
Desirable skills and experience

Experience of Xero accounting software. Marketing and social media experience, particularly social media and website updating. Experience of working with HMRC basic payroll tools.
Job Types: Part-time, Permanent

Pay: Up to 13.50 per hour

Expected hours: 8 per week
