Job Overview

We are looking for a highly organized and detail-oriented Administrative Administrator to support the daily operations of our busy and dynamic wedding venue. The successful candidate must have experience using both Sonas and SuperControl portals and be comfortable managing bookings, schedules, and client communication within a fast-paced environment.

You will play a central role in ensuring our venue runs smoothly, from initial client inquiries to final event coordination, while maintaining exceptional customer service standards and administrative accuracy.

Key Responsibilities:



Manage and update client bookings and accommodation calendars using SuperControl Oversee and maintain scheduling and staff coordination through the Sonas system Respond to client inquiries via email and phone, providing timely and professional support Maintain accurate records of client details, event timelines, and vendor coordination Generate contracts, invoices, and reports from both portals as needed Assist the wedding planning team with administrative support including event schedules, checklists, and venue documentation Liaise with external suppliers, caterers, and on-site accommodation teams to ensure seamless service delivery Monitor and manage system alerts, availability, and portal updates Provide basic tech support and onboarding for new staff on Sonas and SuperControl systems Ensure GDPR compliance and maintain data confidentiality at all times

Requirements:



Proven experience in an administrative role, ideally in events, hospitality, or weddings Proficient use of Sonas and SuperControl portals (required) Exceptional organizational and multitasking skills Excellent written and verbal communication skills High attention to detail and ability to meet deadlines Customer-focused mindset with a professional and friendly attitude Competency in Microsoft Office (Word, Excel, Outlook) and general IT systems Ability to work flexibly, including occasional weekends or evenings during peak wedding season

Desirable:



Experience in a wedding venue or hospitality setting Familiarity with basic financial admin (invoices, payment tracking) A creative eye for detail and passion for event planning Knowledge of GDPR and booking system best practices
Job Types: Full-time, Part-time

Pay: 22,880.00-24,351.00 per year
