We're looking for a reliable, hands-on Office Administrator to join our Head Office in Knightsbridge and keep things running smoothly behind the scenes.
This isn't a glamorous front-of-house job - it's a busy, fast-paced role where no two days are the same. One moment you might be coordinating diaries for the senior team, the next you'll be clearing meeting rooms and restocking the kitchen. This role involves a wide variety of tasks from handling expenses and travel bookings to greeting visitors, managing meeting room setups, and directing calls on a busy phone line.
As a big part of this role is answering and directing incoming calls, you'll need to be confident on the phone, with a professional and friendly manner.
We need someone resilient, organised, and unflappable, who's happy to get stuck in, whether that's setting up coffee for a board meeting, onboarding a new starter, juggling conflicting room bookings, or tactfully pushing back when needed.
If you're confident, thrive on variety, and don't mind rolling your sleeves up to get the job done, this is a great opportunity to become part of a collaborative, high-performing team.
What you'll do
Office operations
Keep the office tidy, organised, and well-stocked; support the Office Manager in ensuring meeting rooms and communal areas are clean and presentable throughout the day.
Call handling
Answer and direct incoming calls professionally and efficiently; field enquiries or pass on messages as needed.
Admin support
Manage calendars, assist with scheduling and formatting documents, support with onboarding admin and general tasks.
Meeting & visitor coordination
Set up and clear down meeting rooms; arrange teas, coffees and catering; greet guests with professionalism.
Travel & events
Organise travel and accommodation bookings; help coordinate office or team events.
IT support
Be the go-to for basic IT issues; escalate to our IT support when needed.
Mail & supplies
Help manage post, deliveries, couriers, stationery, and kitchen supplies
What you'll bring
1+ year of office-based admin experience in a fast-paced environment
Strong IT skills, especially in Microsoft Office (Outlook, Word, Excel, Teams)
Excellent communication and organisation skills
A practical, positive, can-do attitude
Ability to juggle tasks and stay calm under pressure
Confidence to work independently and as part of a small team
A professional, friendly manner - both in person and over the phone
