We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of daily office functions, providing administrative support across departments, and maintaining efficient communication channels. Duties
Manage incoming calls and direct them appropriately using excellent phone etiquette
Organise and maintain digital and physical filing systems for easy retrieval of documents
Prepare, review, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace
Perform data entry tasks accurately within programmes such as Smartsheet, QuickBooks and other relevant software
Schedule appointments, meetings, and coordinate calendars for team members
Assist with invoicing, billing, and basic bookkeeping activities
Support team members with administrative tasks including photocopying, scanning, and mailing
Maintain office supplies inventory and place orders as needed to ensure smooth operations
Support onboarding processes for new staff members
Manage building and residential tenancies
Schedule maintenance works
Organize periodic office events and outreach activities
Organize and post for Social Media content
Support HR needs
Use our ISO 9001, 14001, 45001 system and provide input to for Quality Assurance
Support work undertaken for Project Bids
Qualifications
Proven office experience or administrative background with a strong understanding of office procedures
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and QuickBooks
Excellent organisational skills with the ability to prioritise tasks effectively
Strong typing skills with high accuracy and attention to detail
Demonstrated experience in data entry and clerical work
Good communication skills with professional phone etiquette
Ability to work independently as well as part of a team in a fast-paced environment
Previous experience with administrative software and tools is desirable but not essential; training will be provided where necessary
