We are seeking a highly organised and proactive Office Administrator to join the Lytham Hall team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing office resources, and providing face to face assistance to customers, estate colleagues, and volunteers. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Role Duties
Working in the reception area, including welcoming customers and guests
Dealing with company correspondence, including phone calls, emails, letters and packages
Handling bookkeeping, budgeting and billing cycles for the business alongside colleagues and the Office Manager
Organising meetings, scheduling appointments and overseeing event details alongside the Deputy Manager
Working closely with other administrative colleagues and the Office Manager
Accurately record and update financial, personnel, and customer information
Upkeep of office supplies, including stationery and multimedia equipment to ensure smooth office operations
Specialized Duties:
Depending on the specific needs of the estate, the role may also involve tasks related to events, visitor management, or other aspects of estate operations
Maintain effective phone etiquette while handling incoming calls and inquiries.
Requirements
Proven experience in an administrative role or similar position.
Proficiency in Microsoft Office 365 suite is essential.
Familiarity with accounting software is preferred, but not essential
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written, with ability to interact effectively with colleagues, visitors, volunteers, and other stakeholders.
Strong face to face customer service skills and phone etiquette, to provide a positive and helpful experience to visitors.
Strong ability to manage bookings and appointments within a busy office environment
Ability to work independently as well as part of a team.
The role is varied and fulfilling, and is required on a full day part time basis, with Saturday as one of your regular working days. Flexibility is important to provide cover for other office colleague holidays on occasion.
