provides the opportunity to make a significant impact in a crucial area of our Firm. Acting primarily as the point of contact for new clients in the Commercial department, but available to assist other departments when required, serving as a central resource to facilitate a smooth, welcoming, and efficient administration and onboarding processes.
This role involves coordinating communication and activities between clients and legal teams to ensure the timely completion of all initial documentation, compliance checks, and preliminary assessments.
Responsibilities include:
Managing file openings within the case management system.
Creating matter contacts and entity links.
Conducting identity and Anti-Money Laundering (AML) checks.
Handling the distribution and collection of necessary client documentation.
Assist with post distribution across the office including receiving and opening post, allocating post to the correct individual and assisting with preparing the outgoing post.
Providing Reception cover as and when needed in the absence of the Receptionist due to sickness, annual leave or unexpected absence.
Accurate and efficient typing of documents, correspondence, and records, providing general administrative support to ensure smooth office operations to all departments when required.
Requirements/Desirables:
Minimum of 2 GCSEs (or equivalent) graded C or 4 & above, including English and Maths; further education or relevant legal administration qualifications are advantageous.
Previous experience in a legal, compliance, or professional services environment is preferred.
Familiarity with case management systems and document handling in a law firm setting is beneficial.
Proficient in Microsoft Office applications and digital case management systems.
Strong data entry, record-keeping, and document management abilities.
Excellent written and verbal communication skills.
Ability to interact professionally and empathetically with clients and colleagues at all levels.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Effective time management and prioritisation in a fast-paced environment.
