Office Administrator (no Visa Opportunities Available)

Job Description

As the Office Administrator, you will be an integral part of our office environment, you will be coordinating administrative processes, supporting engineers and project managers, and providing assistance across HR, operations, accounts, sales, and marketing. You will report directly to the Operations Manager and work closely with all team members to keep projects and business functions running efficiently.

Key Responsibilities:



Administrative & Operational Support:



Act as the first point of contact for all incoming calls, emails, and visitors.

Handle general office duties including filing, scanning, photocopying, printing, and E-post management.

Manage stationery, office supplies and equipment; liaise with suppliers as needed.

Maintain and update digital and physical filing systems.

Schedule meetings, take minutes, and manage calendars for senior staff.

Assist with document preparation, formatting, and submission of planning and building regulation applications.

Print and bind engineering drawings, reports, and certificates for submission or client delivery.

Engineering Support:



Assist engineers with printing, collating and dispatching technical documents.

Ensure accurate version control for project documentation.

Upload and share documents to client portals or via email as required.

Support in document archiving and QA compliance.

HR & Personnel Support:



Support with onboarding new staff (documentation, induction scheduling).

Maintain HR records (holidays, sick days, training logs).

Assist in organising staff events, team meetings, and training sessions.

Accounts & Finance:



Raise and issue invoices using company software Xero.

Track payments, reconcile receipts, and assist with chasing overdue invoices.

Process staff expenses and credit card receipts.

Support payroll preparation and maintain time tracking logs if applicable.

Sales & Marketing:



Help maintain and update the company CRM and mailing lists.

Support the creation of proposals, client quotes and tender documentation.

Assist in updating website content, social media posts, and marketing campaigns.

Track marketing and client engagement metrics.

Skills & Experience Required:



Previous experience in an office administration or business support role (construction or engineering sector preferred).

Strong IT skills, including Microsoft Office Suite (Word, Excel, Outlook, SharePoint).

Familiarity with project and document management systems is desirable.

Excellent communication and interpersonal skills.

Strong organisational skills with attention to detail and a proactive approach.

Ability to multitask and prioritise in a busy, deadline-driven environment.

Desirable (but not essential):

Experience with planning portals, building control applications, and CAD file handling.

Basic knowledge of accounting software Xero.

Experience supporting sales or marketing teams.

Job Type: Full-time

Pay: Up to 28,000.00 per year
