THE OPPORTUNITY
We are looking for a proactive and detail-oriented Office Administrator to join our busy operations team. This is a key role providing daily administrative support to ensure smooth and efficient business operations.
QUALIFICATIONS & SKILLS:
No formal academic qualifications required, but previous office-based experience is essential
Professional and confident telephone manner
Strong interpersonal skills with the ability to engage effectively with colleagues at all levels
Solid working knowledge of Microsoft Office (Outlook, Word, Excel)
Excellent organisational skills and keen attention to detail
Ability to multitask and manage competing priorities
Self-motivated and dependable team player
Willingness to undertake job-specific or employer-led training as needed
EXPERIENCE:
Experience working in the oil and gas or technical services sectors.
Familiarity with ISO 9001 quality systems or similar.
Previous involvement in managing competency and training certification records.
Experience of personnel logistics - booking accommodation and travel and managing the on pass of these details.
Use of SharePoint or other cloud-based systems.
Exposure to procurement support and document control processes.
Minimum of five years' relevant work experience.
KEY RESPONSIBILITIES:
The following list of duties undertaken by the company Operations Administrator include the following tasks but is not exhaustive:
Answering incoming calls and managing shared inboxes
Booking travel, accommodation, and training for team members
Supporting equipment dispatch and liaising with the workshop team
Preparing job files and maintaining up-to-date records
Raising and tracking purchase orders to fulfillment.
Assisting with collation of RAMS packs and customer-facing documentation
Updating internal systems and SharePoint databases
Supporting HR admin tasks, including tracking of training records
Filing, scanning, and general office support
Acting as a liaison point of contact for field technicians
Assisting the Senior Management Team with administrative support as needed
