Duties



Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Oversee schedule management by coordinating appointments, meetings, and calendar updates for staff and executives Facilitate vendor management by communicating with suppliers, processing invoices, and maintaining vendor records Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with training & development initiatives Handle bookkeeping and basic accounting tasks using QuickBooks to track expenses, process payments, and maintain financial records Assist with office management duties including filing, organizing documents, and maintaining office supplies inventory Support event planning activities for company meetings, training sessions, or community engagement events

Skills



Proven experience in office administration or clerical roles with strong organizational skills Excellent communication skills with professional phone etiquette and customer service orientation Demonstrated ability to supervise or lead small teams effectively Proficiency in QuickBooks for bookkeeping and payroll processing Strong schedule management skills to coordinate multiple calendars seamlessly Experience in vendor management and budgeting to optimize office operations Knowledge of medical office management or healthcare administrative procedures is a plus Ability to manage human resources functions including onboarding and training processes Skilled in filing systems, document management, and maintaining accurate records Familiarity with multi-line phone systems, front desk operations, and office technology tools
