, a specialised provider of renewable heating systems across Scotland for both residential and commercial properties. Our focus includes Air Source Heat Pumps, Ground Source Heat Pumps, Underfloor Heating, Solar Photovoltaic (PV), and Solar Thermal-Solar Hot Water installations.

We are seeking an enthusiastic individual to join us as a full-time

Office Administrator or Office Manager

, depending on your experience. This position offers the

potential for promotion to a managerial role

, unless you are already working at a managerial level -- in which case, we'd be delighted to welcome you into a role that recognises your existing expertise and leadership. The ideal candidate will bring valuable experience in a similar role, demonstrating a strong understanding of the demanding managerial responsibilities.

In this pivotal role reporting to the company Director, your day-to-day responsibilities will encompass:

Handling phone calls and email communications promptly and professionally Addressing customer inquiries with tact and professionalism Taking appropriate actions to resolve issues efficiently Providing crucial support to the Director through managing emails, calls and calendar organisation Coordinating and supporting team members as needed Expanding our company's presence on social media Delivering top-notch customer care by addressing every question and concern Effectively managing and resolving customer complaints Organising team holiday calendars and monitoring staff attendance Keeping the Team informed about updates from certification bodies Implementing new policies and procedures to align with the latest requirements Overseeing the company's insurance policy, ensuring annual renewal Regularly update and maintain internal systems used within the organisation to ensure data accuracy and integrity Collaborating with service/utility providers and reviewing contracts as necessary Proactively addressing potential business challenges Handling bookkeeping tasks, including invoice preparation for customers Collaborating with the team to update CRM systems and manage leads Managing general administrative duties
We're eager to hear from you if you possess:

A minimum of 12 months experience in an office management role or similar position Proficiency in Microsoft Office and Xero (advantage) Highly organised with the ability to prioritise tasks efficiently Effective phone etiquette and strong verbal communication skills A positive, friendly, and helpful approach

Job Types: Full-time, Permanent

Pay: 27,000.00-30,000.00 per year
