We are seeking a detail-oriented and proactive Administration Assistant to join our team. The successful candidate will support the conveyancing process by assisting solicitors and clients with various administrative tasks. This role is vital in ensuring smooth communication and efficient handling of documentation throughout property transactions.
Responsibilities
Assisting in preparing and processing conveyancing documents.
Maintain accurate records and files for all transactions, ensuring compliance with legal requirements.
Communicate effectively with clients, estate agents in person and via phone and email, demonstrating excellent phone etiquette.
Perform data entry tasks to update client information and transaction progress in relevant systems.
Organise appointments, meetings, and deadlines to ensure timely completion of all conveyancing processes.
Manage clerical duties such as filing, photocopying, and scanning documents as required.
Manage reception duties such as welcoming clients, organising stationary orders and deliveries.
Skills
Previous office experience is essential, with a strong background in administrative roles preferred.
Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Outlook).
Excellent organisational skills to manage multiple tasks efficiently while maintaining attention to detail.
Strong typing skills for accurate data entry and document preparation.
Ability to communicate clearly and professionally over the phone with clients and colleagues alike.
