Brickbooks and Payroll Ltd is a growing accountancy firm specialising in trades and construction businesses. We pride ourselves on being proactive, responsive, and deeply invested in our clients' success. As we continue to grow, we are finding keeping a handle on the admin side of the business a struggle so we're looking for a dependable and experienced administrator who can keep the operational side of the business running like clockwork and support our expanding payroll function.
Role Overview:
This is a very varied, hands on role that blends office administration, PA, client onboarding, and payroll responsibilities. You'll be the first point of contact for many of our clients and a key part of ensuring smooth day-to-day operations in the practice.
Key Responsibilities:
Office & Administration:
Handle incoming phone calls and emails to the main inbox, responding or distributing as appropriate
Manage company WhatsApp messages professionally and promptly
Diary planning and meeting scheduling for the team and director
Keep digital filing up-to-date and well organised
Prepare and send client proposals using our templates and systems
Support client onboarding including AML checks, risk assessments, and gathering relevant documentation - currently using Xama and Client Engager
Maintain and update internal policies, procedures, licences, and insurances
Prepare client reports in advance of scheduled meetings
Ensure the office runs smoothly, proactively addressing issues before they arise
Provide occasional support to the accountants as needed
Payroll & Compliance:
Process client payrolls including PAYE, CIS, and CIS300 returns - we currently use FreshPay
Be confident in reviewing employment status and questioning IR35 issues
Understand when subcontractors should be CIS registered and advise accordingly
Keep accurate records and liaise with clients to resolve queries
Stay up to date with payroll and compliance changes
Skills & Experience Required:
Proven office administration experience in a busy, client-facing environment
Solid experience with payroll and CIS, including filing CIS300 returns - Qualification highly desirable
Strong communication skills - confident on the phone, in emails, and when dealing with clients
Able to prioritise, manage a varied workload, and remain in control under pressure
Experience with AML procedures and understanding of risk assessment requirements - Training will be provided and an annual course will be required to keep up to date
Proficiency with digital tools - email, WhatsApp, GSuite
Highly organised, reliable, and comfortable working independently with minimal supervision
Familiarity with accountancy practice operations is preferred

Comfortable managing your own workload and making decisions where appropriate
Loyal, discreet, and trustworthy - you'll be handling sensitive data and client information
