Overview


We are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks including clerical duties, data entry, and maintaining an organised workspace. The Office Assistant will work closely with other team members to facilitate smooth communication and workflow.

Responsibilities



Administrative Support:

Diary & Calendar Management:

Organize and maintain the Director's schedule, coordinating meetings, appointments, and events. Prioritise engagements to optimise time management.

Travel Coordination:

Arrange domestic and international travel, including flights, accommodations, and itineraries, ensuring alignment with the Director's schedule.

Correspondence Management:

Handle incoming and outgoing communications, including emails and phone calls, ensuring timely responses and appropriate delegation.

Document Preparation:

Draft, proofread, and format reports, presentations, and other documents as required.Recruiting Resources.

Meeting Preparation:

Organize meetings, prepare agendas, take minutes, and follow up on action items.

Expense Management:

Process and track expenses, ensuring adherence to budgetary guidelines.

Office Management:

Supply Management:

Monitor and order office supplies, ensuring the workspace is well-equipped and organised.

Facility Coordination:

Liaise with building management for maintenance and other facility-related issues.

Visitor Management:

Greet and assist visitors, ensuring a professional and welcoming environment.

Record Keeping:

Maintain organised filing systems for both physical and digital documents.

Qualifications



Previous experience in an office environment is preferred but not essential. Strong organisational skills with the ability to prioritise tasks effectively. Proficient in clerical tasks and data entry with a keen eye for detail. Excellent verbal and written communication skills. Ability to work independently as well as part of a team in a fast-paced environment.
