My client is seeking an exceptional individual to join their thriving media, skills, and training organisation. The successful candidate will be highly presentable, personable, proactive, and quick-thinking. As the first point of contact for staff, students, and visitors, this is a pivotal, people-facing role that also carries responsibility for a range of important administrative tasks, contributing directly to the smooth running of the company.
Open the building each morning, ensuring reception, studios, classrooms, and shared spaces are ready for the day.
Act as the first point of contact for students, tutors, visitors, and external partners.
Greet and welcome all visitors in a friendly, professional manner and direct them appropriately.
Answer phone calls, emails, and general enquiries promptly and accurately.
Maintain visitor logs and follow access procedures, including issuing visitor passes where required.
Keep the reception area welcoming, tidy, and well-presented and adhering to H&S, including lighting, music, and displays.
Update reception boards with daily class locations, room allocations, and timetable changes.
Student & Tutor Support
Welcome tutors on arrival and provide refreshments and practical support in line with CMS standards.
Distribute, collect, and check daily registers for accuracy and completion.
Organise and maintain student attendance records, sign-in sheets, and documentation.
Distribute, collect, and log student surveys and feedback forms.
Support tutors with room setup, printing, basic technical checks, and generaloperational needs.
Monitor student movement between studios and classrooms to ensure sessions run smoothly.
Check in with tutors and short course participants during delivery to ensure they are comfortable and supported.
Office, Studio & Facilities Support
Ensure studios, classrooms, reception, kitchens, and communal areas remain clean, tidy, and presentable throughout the day.
Turn on and check lights, TVs, music systems, and equipment as required.
Manage kitchen duties including dishes, dishwasher use, and replenishing consumables.
Monitor water tanks, tissues, and other shared supplies.
Act as first point of contact for facilities or maintenance issues and report thempromptly.
Support room bookings, studio readiness, and operational requests.
Assist with opening and closing the building, ensuring spaces are reset, secure, and ready for the next day.
Administration & Logistics
Handle incoming mail, deliveries, and follow up on post room collections.
Maintain organised digital and paper records for attendance, surveys, and operational documentation.
Provide basic administrative support including data entry, printing, filing, and scheduling assistance.
Create Zoom links for meetings or sessions when required.
Monitor stock levels and manage monthly kitchen and office supply orders, flagging shortages proactively.
Skills & Experience
Essential
Excellent interpersonal and customer service skills.
Confident, friendly, and professional communicator (in person, phone, and email).
Strong organisational and time-management abilities.
Reliable, punctual, and comfortable with early starts.
Ability to multitask and remain calm in a busy, student-focused environment.
Comfortable working with young people (16-19+) and adult learners.
Basic IT skills (email, online forms, Zoom, simple admin tasks).
Desirable
Previous experience in an office, education, training, or creative environment.
Interest in film, media, or the creative industries.
Experience supporting facilities, studios, or learning environments.
