WA CARR & SON is a growing Event Equipment Hire company that offers comprehensive services from Marquee's to furniture, Staging and More.

Summary



We are seeking a highly organised and proactive Office & Client Services Manager to oversee the smooth running of the office, manage client enquiries, and coordinate workflow across the business.

This role is the central communication hub of WA Carr & Son, ensuring clients are always responded to quickly and professionally, enquiries are logged and tracked, and internal tasks are distributed efficiently. You'll work closely with the Warehouse Manager to make sure client requests and orders are passed across accurately, while supporting the Managing Director by freeing him to focus on sales and client relationships.
Responsibilities

Client Enquiries & Communication



Act as the first point of contact for all inbound enquiries (phone, email, website, HubSpot). Ensure all client communications are handled promptly, with outstanding service. Log and track enquiries through HubSpot CRM, escalating where necessary. Prepare and send quotes, confirmations, and client paperwork. Maintain professionalism and consistency in tone of communication across all client touchpoints. Analyze client feedback to continuously improve service offerings.

Office Management & Coordination



Manage the office inbox, phone lines, and calendar. Distribute workload between the office and warehouse teams. Ensure the Warehouse Manager has all the information needed to deliver jobs accurately. Keep internal systems and dashboards up to date (HubSpot, sales reporting, etc.). Support health & safety and compliance admin (logging incidents, maintaining records). Manage subscriptions, software accounts, and supplier correspondence relating to office systems.

Administration & Support



Maintain filing, document templates, and records. Support reporting and management updates (weekly/monthly summaries). Oversee office supplies and ensure the working environment is well-organised. Support the Managing Director with administrative tasks to allow focus on sales and client relationships

Key Skills & Attributes



Strong organisational skills and attention to detail. Excellent communication and client service skills. Ability to multitask and prioritise effectively. Confident using CRM systems (HubSpot experience desirable). Proficient in Microsoft Office (Excel, Word, Outlook). Professional, approachable, and solutions-driven. Previous experience in events, hiring, or client-facing admin role is desirable but not essential.

Future Development



This role is intended to allow the Managing Director to step back from day-to-day order management and focus fully on sales and client relationships. As the business grows, there is scope for this role to develop into a senior office management or operations leadership position.

Pay: 35,000.00-38,000.00 per year
