- Reception/Facilities Assistant to become part of our Rapport team, working on-site with a leading British multinational in risk management, insurance brokerage, and advisory services, located in the vibrant heart of

.


In this

stand-alone

role, you will be at the forefront of delivering a first-class service to clients and guests, while playing a vital part in supporting the smooth running of daily building and facilities operations. Hours:

40 per week (Monday-Friday; 8 AM-5PM

Main responsibilities



Provide a warm and professional welcome to all visitors and colleagues, ensuring reception runs smoothly and efficiently. Manage visitor registration, passes, meeting room bookings, and client floor operations, keeping spaces presentable and compliant with policies. Support day-to-day office services, including post, couriers, stationery, and supplies, while maintaining accurate records and reports. Act as a key contact for facilities requests, logging and escalating maintenance or AV issues, and coordinating contractors or vendors where needed. Assist with financial administration such as invoice coding and vendor performance monitoring, providing feedback to the Facilities Manager. Uphold health, safety, and security standards, including acting as fire warden during evacuations and ensuring procedures are followed. Contribute to team development by attending training, supporting new colleagues, and embracing a flexible approach to shifts and tasks. Deliver additional administrative and operational support as required, always maintaining confidentiality, integrity, and service excellence.
