Hi-Force is a thriving, family-owned company that has been trading since 1982. An opportunity has arisen for an Office Coordinator to cover maternity leave for a 12 month period, at our Daventry site.

Job Type: Full-time Monday to Friday

Full-time (39 hours per week) - 8.30am until 5.00pm, Monday to Thursday including a half-hour unpaid break for lunch, and 8.30am until 4.00pm Friday including a half-hour unpaid break for lunch.

Salary dependent on experience

, plus a discretionary bonus scheme with potential to earn 5% of base salary dependent on business targets being met.

Minimum of two years' work experience in purchasing and sales order processing and operational sales duties required.

Job Overview


To ensuring manufacturing and operations have the materials required for production, place purchase orders, ensure delivery dates are met by suppliers and sub-contractors and to process sales orders, organise local and export shipments and provide delivery status and stock availability to internal and external offices and distributors.

Duties



Control the issue of materials and components requiring external process or treatments.

Carry out administrative requirements for purchasing inventories and purchase requests.

Supplier lead times and delivery due dates to be met, ensuring customer requirements are met.

Ensure all necessary data is recorded accurately on the Company internal systems.

Perform various system routines to ensure data integrity and produce reports as required to support operational needs.

Create and communicate purchase orders for the UK Head Office.

Establish good working relationships with internal customers & external partners to optimise the material flow process and material availability.

Obtaining quotes by forwarding requirements to suppliers and managing the purchasing process.
Ensuring materials, equipment, and supplies availability by tracking and expediting delivery.
Resolving discrepancies and negotiating credits where required.

Responsible for processing and entering the incoming sales orders in the Company's system accurately.

Provide support to the sales team in attaining targets.

To handle and respond efficiently to any email or telephone sales enquiries received by the office.

Liase with internal departments to ensure orders are processed and delivered on time.

Maintain good customer relationships by acting as an extension of the sales team.

Provide effective and timely responses to queries regarding delivery status and stock availability from the sales team, customers, Regional sales offices and distributors.

Prepare and post invoices.

Prepare shipping documents for exports of goods to our many distributors.

Responsible for preparing necessary certificate of origin and other legalised documents.

Liaise with transport companies to ensure timely collection of shipments.

Comply with all Company rules and procedures including Health, Safety, Quality and Environmental requirements.

Carry out any other duties as required and deemed appropriate.

Knowledge, skills, qualifications and experience required:-



A good standard of education including formal qualifications in Maths and English - GCSE or equivalent.

Advanced skills in Microsoft Office programs such as Word and Excel.

Excellent verbal and written communication skills.

Service-oriented, attention to detail, capable of working to deadlines under pressure.

Able to work without constant supervision and organise oneself and workload appropriately to meet the required standards.

Tenacious, keeps track of requirements and ensures schedules set are followed through.

Ability to adapt plans according to customer or business requirements.

Ability to act on own initiative and solve problems effectively.
