Job Description

The Activity Den is a charity that works hard to improve the lives of children and young people by running projects, youth clubs and activities in Stanley and the surrounding areas

The purpose of this post is to provide comprehensive financial, administrative, and office-based support to The Activity Den Board and Staff, ensuring the smooth and efficient operation of the organisation.

Key Responsibilities & Duties. The post holder will manage dual responsibilities across finance and general administration and finance Administration

Banking:

Act as an online banking user with inputting permissions, monitoring daily movements and processing inter-account transfers as instructed.

Bookkeeping & Reporting:

Maintain accurate financial records, update all financial spreadsheets and databases in line with the charity's needs, and contribute to the production of year-end accounts.

Payments:

Set up online payments for core costs, process incoming cheques, manage petty cash, and handle card payments for individual grants.

Payroll:

Execute monthly payroll requirements accurately and on time.

Grant Management:

Liaise with the Development Coordinator to monitor the pipeline of grant payments from approval stage to completion, creating necessary PDF fund statements.
Office & General Administration

Office Management:

Provide comprehensive front-of-house support, dealing efficiently with telephone, written, and in-person queries.

HR Support:

Conduct staff inductions and monitor associated human resources administration (sickness leave, holiday tracking, pensions).

Compliance & Risk:

Maintain and monitor The Den's compliance requirements and keep the risk register up to date.

Procurement:

Monitor and order new operational stock and build professional relationships with contractors.

Meetings & Reporting:

Organize meetings, take minutes where necessary, and prepare reports for circulation (e.g., the annual report).

Policy & Procedure:

Draft, update, and review internal policies as required and ensure compliance with all organizational policies, including the Health and Safety At Work Act 1974.
Person SpecificationWe are seeking a highly organized and motivated individual to join our small, dedicated team.Essential Skills and Experience

Financial Experience:

Proven experience in dealing with financial administration and basic bookkeeping tasks.

Organizational Skills:

Excellent organizational and planning skills with a high level of accuracy and attention to detail.

IT Proficiency:

High level of IT literacy; confidence in working with new technology and competent in Microsoft Word, Excel, Access, PowerPoint, and Outlook applications.

Communication:

Excellent communication and customer service skills, both written and verbal.

Work Style:

A proactive attitude; takes initiative to resolve issues independently when appropriate, and possesses the ability to work flexibly within a small team environment.

Attributes:

Hard working, self-motivated, enthusiastic, and a positive 'can-do' approach to work.
Desirable Skills and Experience

Experience of working within the charity and voluntary sector. A finance-related qualification. Prior office management/support experience
