We are seeking a highly organised and proactive Office Manager. This role involves a wide range of responsibilities. The right person will be highly motivated, have a keen eye for detail and confident with liaising between departments as well as providing general office management. This role is essential in maintaining an efficient office environment and supporting our team.
Role and Responsibilities
This is not an exhaustive list of duties but gives an outline of the role and responsibilities of this position.
Provide and oversee quotations for the provision of telephone lines, Broadband connections and VoIP / Digital phone services
Arrange installation of telephone lines and Broadband connections, transfer of working lines, Broadband migrations, porting of numbers
Arrange provision of VoIP / digital phone services
Check progress of orders with suppliers
Cease telephone lines, Broadband connections and VoIP phone services
Maintain internal database systems for billing and call charging
Maintain customer invoicing spreadsheet and raise invoices
Deal with emails and phone calls from customers and suppliers
Troubleshoot / fault find issues with telephone lines, Broadband connections and VoIP phone services
Maintain purchase order and sales ledger spreadsheet
HR tasks including pension contributions, holiday rota, new starters, employment contracts, recruitment and maintain employee records
Monthly Payroll
Make sure suppliers are paid on time
Diary management, making travel and hotel arrangements
Taking inventory of office supplies and order more if needed
Arrange regular staff meetings
Requirements
A minimum of 3 years' experience in a management position
Excellent communication skills, both verbal and written, with strong phone etiquette.
Excellent skills using Microsoft Word, Excel and Outlook
Ability to multitask and deal with changing priorities
Excellent attention to detail and extremely organized
Exceptional team player
References will be required.
